Netsuite · Implementation On Netsuite

Configured inside your account, tested with your data

RIOO is implemented in your NetSuite environment. We review your account, configure property records, roles and workflows, migrate your data, connect integrations and test your real scenarios before go-live.

What's different about a native implementation

A connected property system is implemented beside NetSuite, with a connector between them. RIOO is implemented within NetSuite. That changes the work: there's no connector to map and no second database to stand up, but there's careful thought about your chart of accounts, entity structure, segments, roles and existing customizations. Your NetSuite team is a key partner from day one.

Common risks and how to reduce them

Bill receivedOver limit?YesNoManager reviewDueAuto-approvedInstantPost to GL

Dirty data

start cleansing tenant, unit and lease data early.

Scope creep

agree phase one and park nice-to-haves.

Unclear owners

name a decision maker for every area.

Under-trained staff

train by role, close to go-live, with real scenarios.

Customization conflicts

review existing NetSuite customizations before design.

Use cases

Which risks come up most often, and how are they reduced?

The risks that come up most often are late data cleansing, unclear decision owners, untested integrations, underestimated customisation and weak training. They are reduced by cleaning data from the first weeks, naming owners early, testing in a sandbox, reviewing customisations in discovery and training by role.

01

Late data cleansing

Start extracting and cleaning in the first weeks, not after configuration.

02

Unmade decisions

Keep a decision log with owners and dates, reviewed weekly.

03

Customisation conflicts

Have the NetSuite administrator review scripts and workflows on customer, invoice and vendor bill records early.

04

Scope creep

Hold a phase-two list for anything not needed to go live.

05

Thin testing

Test with your own leases and a real month, not invented examples.

06

Training too early or too late

Train within two to three weeks of go-live, with your data in the system.

How does implementing RIOO on NetSuite work?

RIOO is implemented inside your NetSuite account. The project configures property records, charge codes, segments, roles and workflows on top of your existing subsidiaries, chart of accounts and bank accounts, then migrates leases and balances. If NetSuite is new to you, the ERP and property implementation run as one coordinated project.

Use cases

Which decisions shape a NetSuite property implementation?

The decisions that shape a NetSuite property implementation are how properties are segmented, as classes, departments, locations or custom segments; how entities map to subsidiaries; the chart of accounts for rent and recoveries; approval workflows; and which history to migrate. They are made in design.

02

Entity structure

Which owning entities, funds or SPVs become subsidiaries.

03

Charge codes

The rent, fee, recovery and utility charges you bill, mapped to income accounts.

04

Tenant model

How tenants, households, guarantors and payers map to NetSuite customers.

05

Approval workflows

Thresholds for vendor bills, journals, concessions and write-offs.

06

Roles

What property managers, leasing, maintenance and finance users can see and do.

Which NetSuite environments are used?

Configuration and testing happen in a NetSuite sandbox, which is a copy of your production account. Changes are promoted to production once tested, using NetSuite's standard tools such as SuiteCloud Development Framework or bundles. A sandbox refresh before user acceptance testing keeps test data realistic.

How it works

How do you test a NetSuite property implementation?

You test a NetSuite property implementation by billing a full month for a pilot portfolio and comparing charges with the old system, collecting payments, closing a period, reconciling balances and deposits, and running key reports, with each team signing off its scenarios before go-live.

What does your team do during the project?

During the project, your team supplies decisions, data and testing. The executive sponsor sets priorities, finance designs accounts and close, property operations defines lease and maintenance workflows, the NetSuite administrator manages roles and customisations, and power users test and train colleagues.

EExecutive sponsorPProject ownerFFinance leadOOperations lead

Executive sponsor

Sets priorities, removes blockers and signs off scope. Usually the CFO or COO. Needs an hour or two a fortnight, more at key decisions.

Project owner

Runs the project day to day on your side, books workshops, chases decisions and owns the plan. This role needs real time, often half of a working week in busy phases.

Finance lead

Owns chart of accounts mapping, charge codes, opening balances, deposits and the first close. Usually the controller or a senior accountant.

Operations lead

Owns lease data quality, workflows for leasing and maintenance, and training for property teams.

NetSuite administrator

Reviews existing customisations, roles and scripts, and owns promotion from sandbox to production.

Who is a native implementation NOT right for?

If your organisation plans to leave NetSuite, or property books must stay with owners in systems you do not control, a native implementation is not the right approach. It also needs an internal owner with time for decisions and testing.

What happens in the first month after go-live?

The first month is about stability. Billing runs from lease schedules, payments are applied daily and issues are logged and fixed quickly. The project team supports the first close side by side with finance, compares results with expectations and agrees improvements for the next cycle. After the first close, the project hands over to ongoing support.

How is success measured after go-live?

Success after go-live is measured against a baseline taken before the project: days to close, reconciliation effort, share of rent paid online, maintenance response speed and user adoption by role. Tracking them for the first few months shows where configuration or training needs adjusting.

FAQ

Implementation on NetSuite FAQs

Still curious? Ask the team.

Can we migrate historical data?

Yes. Properties, units, tenants, active leases, open balances, deposits and historical financial data can be migrated into NetSuite during a RIOO implementation. Most teams move full open items plus summarised history, loaded in trial cycles and reconciled against the old system, so balances and reports match before cutover.

Will RIOO affect our existing customizations?

RIOO runs on standard NetSuite records, so the team reviews your existing scripts, workflows and custom fields during the architecture review and designs around them. Where a customisation touches the same records, such as customers or invoices, changes are agreed with your administrator before configuration starts.

How long does it take?

It depends on scope: the number of entities and properties, property types, data quality, integrations and whether NetSuite itself is new. A milestone plan with discovery, configuration, data loads, testing and go-live dates is agreed at kickoff, and phased rollouts let the first portfolio go live sooner.

Can RIOO implement NetSuite as well?

Yes. RIOO can coordinate the NetSuite ERP and property implementation together as one programme, so the chart of accounts, subsidiaries and property segments are designed with property operations in mind. Where you already have a NetSuite partner, RIOO works alongside them.

Does RIOO install as a SuiteApp?

RIOO is delivered into your NetSuite account and runs on NetSuite records, so properties, leases, invoices and work orders live in the same database as your general ledger. Your administrator manages roles and permissions for RIOO the same way as for the rest of NetSuite.

What support is available after go-live?

After go-live, a hypercare period covers the first billing cycle and month-end close, with the project team on hand to resolve issues and fine-tune configuration. Ongoing support then continues through RIOO's support team, while your administrators and power users handle day-to-day changes and training for new staff.

Can we go live one portfolio at a time?

Yes. Phased go-lives by portfolio, region or entity are common in RIOO implementations. The first wave proves the configuration, templates, data loads and reports, and later waves reuse them, which lowers risk, lets teams learn from the pilot and spreads training across the organisation.

What if our NetSuite account has heavy customisation?

If your NetSuite account has heavy customisation, your administrator and the project team review scripts, workflows, custom fields and integrations on shared records such as customers, vendors and invoices during discovery. Conflicts are resolved and changes agreed before configuration starts, then tested in a sandbox.

How is data migrated into NetSuite?

Data is migrated into NetSuite in trial cycles. Properties, units, tenants, leases, open balances and deposits are extracted, cleaned, mapped to RIOO records and loaded into a sandbox, then validated against the old system's reports. After two or three successful trials, the final cutover load runs into production.

Do we need a sandbox?

A NetSuite sandbox is strongly recommended for a RIOO implementation, so configuration, data loads and integrations can be tested without touching production data. If you do not have one, plan for it during scoping, because trial migrations and user acceptance testing depend on a safe copy of your account.

Plan your implementation with people who know property and NetSuite.
