Integrations · Documents & E-Signature

Signed anywhere. Filed in the right place.

RIOO works with DocuSign, HelloSign, PandaDoc and Dropbox, so leases, renewals, addenda and closing documents are signed remotely by every party and stored on the unit, tenant or sale they belong to.

Paperwork shouldn't slow a lease

A lease waiting for a guarantor's signature is a unit not earning rent. A closing package missing one document is a sale that stalls. E-signature removes the waiting, and filing signed documents on the right record removes the searching later.

Why the record matters as much as the signature

An e-signature tool proves who signed and when. RIOO adds the context: which unit, which tenant, which lease term and which charges. That's what makes a signed document useful months later, when a tenant disputes a clause, an auditor samples a lease or a buyer's lender asks for the closing package.

Capabilities

Why does storing the signed document on the record matter?

Storing the signed document on the NetSuite record matters because the document and the data must agree. When rent, dates or clauses are disputed, staff need the signed version next to the charges billed from it. Keeping both together also lets auditors test revenue against signed leases without requesting files from another system.

Why it mattersOne sourceFaster auditsClear historySlower, riskiernumbers

One source

The agreement and the billing schedule sit together.

Faster audits

Sample leases are a click away from the ledger.

Clear history

Amendments and renewals stack in date order.

Access control

NetSuite roles limit who can view sensitive contracts.

What is a documents and e-signature integration?

A documents and e-signature integration connects your property system to tools that prepare, sign and store agreements electronically. In RIOO, leases, renewals, notices and vendor contracts are generated from NetSuite records, sent for signature through a connected e-signature service and filed back to the tenant, unit or vendor record once signed.

The value is in the round trip: data goes into the document from the record, and the signed document comes back to the record.

How it works

How does documents & e-signature work in RIOO?

Documents & e-signature in RIOO runs inside Oracle NetSuite. The properties, units, leases, tenants and vendors it uses are native NetSuite records, so each step updates the same data finance reports on. There is no separate system to sync, and every action keeps an audit trail. The steps below show how the work flows.

Practical setup tips

Getting these right early prevents the most common problem we see: correct signatures on documents that nobody can find later.

How it works

How does a signing workflow run?

A signing workflow in RIOO runs from template to filed document in a few steps, with each step visible to the leasing team so nobody has to chase signatures by email. The workflow is the same for a lease, a renewal or a vendor contract, which keeps training simple across teams.

Checklist

What should you set up before going live?

Before going live, prepare the templates, signer rules and storage settings that every document will use. Setting these up once avoids inconsistent documents across properties and makes sure every signed file lands in the right place with the right access.

How does e-signature speed up leasing?

E-signature speeds up leasing by removing the wait for printing, posting and scanning documents, so an approved applicant can sign the same day. Because the lease is generated from the NetSuite record, there is also less time spent checking that names, rent and dates were typed correctly into a separate document.

Same-day signing

Applicants sign within hours of approval rather than days.

Fewer errors

Merge fields remove retyping of rent, dates and names.

Parallel signers

Co-tenants and guarantors sign from different places.

Which documents can be signed electronically?

Most day-to-day property documents can be signed electronically, though some jurisdictions still require wet signatures or witnesses for specific deeds. The table lists common documents and where they are filed in RIOO; check local rules before moving any legally sensitive document to e-signature.

Who is this integration NOT for?

This integration is not a full contract lifecycle management system for legal teams negotiating bespoke clauses across many drafts. Complex commercial lease negotiations often happen in a legal tool or by email first. RIOO handles the final agreed document, its signature, its storage and the billing that follows.

What changes

What changes when documents & e-signature runs on NetSuite?

When documents & e-signature runs on NetSuite through RIOO, operational work and accounting stop being two separate jobs. Transactions post to the general ledger as they happen, reports use the same records as daily work, and controls come from NetSuite roles and approvals. FAQ

Documents & e-signature FAQs

Still curious? Ask the team.

Can guarantors sign from another country?

Yes. E-signature is fully remote, so guarantors, overseas tenants and international investors can sign from any country with an internet connection. Each signer receives a secure link by email, and the signing order can require the tenant to sign first, then the guarantor, then the landlord, before the lease activates.

Are signed documents tamper-evident?

Yes. Signed agreements are stored with the e-signature provider audit trail, which records who signed, when and from where, and shows whether the document changed after signing. The signed copy is filed against the lease or vendor record in NetSuite, so staff and auditors always open the final version.

Which e-signature tools are supported?

RIOO lists DocuSign, HelloSign and PandaDoc as supported e-signature tools, with Dropbox available for document storage. Most teams connect the tool they already license, so templates and signer experience stay familiar. Ask about other providers during your evaluation if your organisation has a different standard.

Do we need our own e-signature account?

Most organisations connect their own e-signature account, which keeps contracts, templates and signing volumes under their existing agreement with the provider. If you do not have one, discuss the options during your evaluation, including which provider suits your volumes and markets.

Can tenants sign on a phone?

Yes. Tenants, guarantors and vendors can open the signing link on a phone, tablet or computer and sign without installing an app or creating an account. Mobile signing helps applicants complete a lease the same day they are approved, which shortens the time between approval and move-in for busy leasing teams.

What happens if a signer declines or the link expires?

If a signer declines or a link expires, the document status changes on the record and the leasing team is notified, so they can correct terms or resend. Nothing is activated until every required signature is complete, which prevents billing from starting on a lease that was never fully agreed.

Are e-signed leases legally valid?

In most markets RIOO serves, electronic signatures are legally valid for residential and commercial leases, supported by laws such as the US ESIGN Act and UK electronic communications rules. Some deeds, long leases or local forms may still need witnesses or wet signatures, so confirm the rules for each document type with your counsel.

Get every signature, and file it right.
