Netsuite · Fixed Assets & Depreciation

From maintenance history to book value

RIOO works alongside NetSuite Fixed Asset Management, so the assets your operations team maintains are the assets finance depreciates. That covers equipment, improvements and, in manufactured housing, park-owned homes. (Depreciation in RIOO relies on NetSuite Fixed Asset Management being enabled in your NetSuite account, and many property portfolios already use it. Without it, RIOO still tracks operational assets, warranties and service history. Your RIOO proposal, tailored to your portfolio, sets out how fixed assets fit your setup.

Two views of the same asset

Operations sees an HVAC unit: its warranty, service history and condition. Finance sees a fixed asset: cost, in-service date, useful life, depreciation and book value. In most stacks, these live apart, so maintenance spend never informs depreciation decisions and finance can't see an asset's condition. RIOO brings them closer: the operational asset record and the financial asset sit in the same NetSuite environment.

What is fixed asset accounting for real estate?

Fixed asset accounting for real estate records buildings, improvements and equipment at cost, depreciates them over their useful lives and removes them when they are sold or retired. For property portfolios, the hard part is connecting those records to what operations knows about each asset: its condition, its repairs and the work that extended its life.

In NetSuite, the accounting side runs in Fixed Asset Management, which holds cost, in-service date, method, life and book value. RIOO adds the operational side, meaning the property, unit, work orders, warranties and service history. Together they let a controller see why a boiler's repair costs are rising and an asset manager see what replacing it would do to depreciation and budgets.

How it works

How does fixed assets & depreciation work in RIOO?

Fixed assets and depreciation work in RIOO in five steps: register the asset in RIOO and FAM, capitalise qualifying costs, depreciate on schedule, maintain the asset with work orders and dispose of it on sale or retirement. Operations and finance update the same asset throughout.

Which maintenance data improves capital planning?

Maintenance data improves capital planning when it shows which assets are costing more to keep than to replace. RIOO keeps that data on each asset, so finance and operations can plan replacements in the budget year they are needed instead of reacting to failures.

Capitalize or expense?

Whether a property cost is capitalised or expensed depends on your accounting policy, thresholds and framework, not on the software. RIOO helps by capturing every cost with full context, including asset, property and work order, so finance can apply the policy consistently and auditors can see why each decision was made.

How do teams put fixed assets & depreciation into practice?

Teams put fixed assets & depreciation into practice by configuring RIOO to their own policies, training each role on real scenarios and starting with one property or workflow before rolling out further. The examples below show how that typically looks, from set-up to day-to-day use, and which team owns each part of the work.

Not every asset needs a fixed asset record, but property portfolios typically capitalize and depreciate:

Your capitalization policy decides what qualifies. RIOO's job is to make the operational side, meaning maintenance history, condition and rehab spend, visible next to the financial side.

Maintenance and finance often see the same decision differently. Maintenance asks whether it's cheaper to fix the boiler again. Finance asks whether a replacement is a capital project and what it does to depreciation and budgets. When both look at the same asset record, with its service history, costs and book value, the decision is faster and better documented.

Fixed asset rollforwards (additions, disposals and depreciation for the year) are standard audit requests. With assets and their operational history in one environment, preparing them is retrieval, not reconstruction.

Which depreciation lives and models apply to property assets?

Depreciation lives and models for property assets depend on the accounting framework and your policy. Under US tax rules, residential rental buildings use 27.5 years and non-residential buildings 39 years, while book lives follow your own policy. Under IFRS, investment property may be carried at fair value instead of being depreciated.

Confirm lives and methods with your auditors and tax advisers; the table shows common patterns, not recommendations.

What NetSuite Fixed Asset Management provides

NetSuite FAM maintains asset records (acquisition cost, in-service date and estimated useful life), calculates depreciation using standard or custom methods, supports transfers between subsidiaries and handles disposal. It also supports lease accounting for leases where your company is the lessee. RIOO uses FAM for automated depreciation.

How it works

How does a capital project become a depreciating asset in NetSuite?

A capital project becomes a depreciating asset in NetSuite when its accumulated costs are placed in service as a Fixed Asset Management record. Until then, vendor bills collect in construction in progress; on completion, the asset is created with its cost, life and method, and depreciation posts automatically from the in-service date.

How do fixed asset events post to the general ledger?

Fixed asset events post to the general ledger through NetSuite Fixed Asset Management, using the asset accounts and depreciation accounts set for each asset type. RIOO supplies the property context, so additions, depreciation, transfers and disposals report by property and entity, and asset rollforwards for audit come straight from NetSuite.

Use cases

How does property asset accounting differ by framework?

Property asset accounting differs by framework mainly in whether investment property is depreciated or carried at fair value, and in how components are split. Portfolios reporting in several countries often run different books per entity, and NetSuite FAM supports alternate depreciation methods so each entity can follow its own rules.

Real estate is generally held at cost and depreciated, with impairment testing when indicators arise.

02

IAS 40 lets investment property be carried at fair value or at cost, and IAS 16 requires component depreciation for significant parts.

FRS 102 generally measures investment property at fair value through profit or loss.

Local standards are based on IFRS, so the same investment property choices usually apply.

Most entities report under IFRS, with the same fair value or cost choice.

Who is RIOO fixed asset support NOT for?

RIOO fixed asset support is not a replacement for tax depreciation advice or cost segregation studies. RIOO and NetSuite FAM record assets, methods and lives that your finance team and advisers choose; specialist studies that reclassify building costs for tax purposes stay with tax professionals and are then reflected in the asset records.

It is also not a full fixed asset ledger where NetSuite Fixed Asset Management is not enabled. RIOO's asset registry still tracks warranties and service history, but depreciation calculations and asset rollforwards rely on FAM being in the NetSuite account.

What changes

What changes when fixed assets & depreciation runs on NetSuite?

When fixed assets & depreciation runs on NetSuite through RIOO, operational work and accounting stop being two separate jobs. Transactions post to the general ledger as they happen, reports use the same records as daily work, and controls come from NetSuite roles and approvals. The changes below are the ones teams usually notice first.

FAQ

Fixed assets & depreciation FAQs

Still curious? Ask the team.

Does RIOO calculate depreciation itself?

No. RIOO does not calculate depreciation itself; depreciation runs through NetSuite Fixed Asset Management, which applies the method, useful life and convention set for each asset and posts entries every period. RIOO links each asset to its property, unit and work orders, so depreciation and maintenance history can be reviewed together by property.

Can park-owned homes be fixed assets?

Yes. Park-owned homes in manufactured housing communities can be fixed assets in NetSuite, with cost, depreciation, book value and disposal recorded. RIOO keeps the home separate from the homesite it sits on, and when a home is sold to a resident, the asset is retired and any gain or loss is recognised.

Can assets move between entities?

Yes. Assets can move between entities because NetSuite Fixed Asset Management supports transfers between subsidiaries, carrying cost and accumulated depreciation to the receiving entity. That helps when a property is restructured into a new SPV or equipment is moved between communities owned by different companies in the same NetSuite account.

Can RIOO track assets that are not capitalised?

Yes. RIOO can track assets that fall below your capitalisation threshold, such as small appliances or tools, as operational assets with warranties, service history and work orders, without creating a Fixed Asset Management record. That keeps maintenance history complete while the fixed asset register holds only items your policy says should be capitalised.

Connect what you maintain to what you report.
