Switching from AppFolio to RIOO on NetSuite

Switching from AppFolio Property Manager to RIOO means moving property operations onto your NetSuite account: units, leases, tenants, balances and deposits become NetSuite records, and the separate AppFolio ledger is retired. This guide explains when the move makes sense, what migrates, and a phased plan that keeps rent collection uninterrupted.

Use cases

Why switch from AppFolio to RIOO on NetSuite?

Switching from AppFolio to RIOO moves property operations onto the NetSuite ERP that finance runs on. Each owner, entity or fund maps to NetSuite records, owner statements and consolidated reports come from one ledger, and rent, deposits and maintenance costs post as they happen, without exports or summary journals between two systems.

How is an all-in-one property app different from property management built into an ERP?

An all-in-one property app keeps leasing, resident service and accounting inside its own database, which works until a company needs entity consolidation, corporate finance or other asset classes; then data is exported to an ERP and reconciled. Property management built into an ERP shares the ERP's ledger, entities, currencies and roles from the start.

What do you gain by moving off AppFolio?

Moving off AppFolio gives owners, lenders and auditors one source. Finance stops exporting data and posting summary journals, consolidated reporting comes straight from NetSuite, and commercial or international assets can join the same ledger later. Residents keep paying online and requesting service, now through the RIOO tenant portal.

When does switching from AppFolio make sense?

Switching from AppFolio makes sense when the benefit of one ledger outweighs the cost of change. Common triggers include running several entities that must consolidate, moving finance to NetSuite, adding commercial assets, or needing property and corporate reporting from the same records.

Lenders and investors may also want reporting from the same ledger finance closes. If you're not planning to run finance on NetSuite, start with a short fit call.

In detail

What data moves from AppFolio to RIOO?

Six groups of data move from AppFolio to RIOO: property structure, people such as tenants and vendors, active leases and charges, open balances, security deposits and open work. Each set maps to a NetSuite record and is tied to AppFolio control totals before cutover.

Source data usually comes from AppFolio report exports (rent roll, tenant ledger, delinquency, unit directory, owner and vendor lists, security deposits, GL by property).

Property structure

Properties, buildings, units, rooms and amenities, mapped to RIOO's hierarchy and to NetSuite subsidiaries, locations or segments.

People

Tenants and occupants become NetSuite customers and contacts; vendors are matched to existing NetSuite vendors to avoid duplicates.

Leases and charges

Active leases with terms, rent schedules, escalations, recurring charges and, for commercial, recovery setups.

Balances

Open tenant balances by charge, prepayments and credits, loaded as opening transactions that tie to AppFolio's aged receivables.

Deposits

Security deposits held, with dates and any interest, loaded to the right liability accounts.

Open work

Open service requests, work orders and purchase orders, so nothing in progress is lost.

History

Recent transaction history for context; older history archived as read-only exports for reference and audit.

How it works

What is the step-by-step plan?

The plan runs in six steps: discovery of AppFolio modules, reports and integrations, design of the mapping to NetSuite, cleaning data in AppFolio, a trial load into sandbox tied to control totals, a parallel billing cycle, and cutover at month-end with resident communication.

1Discovery2Design3Clean4Trial load5Parallel cycle
  1. 01

    Discovery

Inventory AppFolio modules, reports, integrations and AppFolio features such as resident screening, online payments, maintenance contact centres or marketing websites; agree what replaces each.

  2. 02

    Design

Map entities, properties, charge codes, accounts and roles to NetSuite and RIOO; decide the migration cut-off date.

  3. 03

    Clean

Fix duplicates, closed leases still marked active, unapplied cash and orphan charges in AppFolio before export.

  4. 04

    Trial load

Load a full extract into a NetSuite sandbox and tie rent roll, receivables and deposits to AppFolio control totals.

  5. 05

    Parallel cycle

Run one billing and collection cycle in both systems and compare invoices, receipts and balances.

  6. 06

    Cutover

Freeze AppFolio at month-end, load final balances, switch payment flows and tenant portal access, and communicate to residents and tenants.

  7. 07

    Stabilise

Close the first month in NetSuite, review exceptions, then archive AppFolio data and end the licence.

What are the AppFolio-specific watch-outs?

The main AppFolio-specific watch-out is structure: portfolios are often organised by owner and property rather than legal entity. Decide how owners map to NetSuite subsidiaries or customers, how owner distributions and statements will work on NetSuite, and plan tenant communications about portals and autopay early.

Also plan tenant communications early: new portal logins, autopay re-enrolment where payment tokens cannot move between gateways, and updated remittance details. Payment tokens held by one processor usually cannot be transferred, so expect some residents to re-enter payment details.

What does a cutover checklist include?

A cutover checklist ties each data set to AppFolio at cut-off with a named owner: the rent roll for property operations, aged receivables and deposits held for finance, and open work orders for maintenance. Nothing is signed off until counts and totals match.

How long does a switch from AppFolio take?

A switch from AppFolio usually runs in phases, and its length depends on the number of properties and owners, data quality, NetSuite entities and integrations that change. Residential portfolios with clean rent rolls move fastest; third-party managers with many owners need more time to reconcile owner balances and agreements.

Phasing by entity, region or asset class reduces risk and lets each wave learn from the last. We agree a plan with dates after discovery, not before.

What does life look like after the switch?

Property managers work in RIOO on NetSuite records. Accounting no longer imports or reconciles an AppFolio trial balance. Controllers close from one ledger with drill-down to leases and work orders. Reporting runs on SuiteAnalytics. On riooapp.com RIOO reports $15M+ in annual recurring charges run by fully automated accounting, the kind of work that moves off spreadsheets after a switch.

How do you get data out of AppFolio?

AppFolio users typically export data from standard reports such as rent rolls, tenant ledgers, owner and vendor directories and general ledger reports, usually as spreadsheets. Plan which reports cover each data set and run them on the same cutover date so balances agree.

Use cases

What is different about migrating third-party management data?

Third-party management data adds owner-level work: mapping each owner and its properties to NetSuite entities or segments, reconciling cash held, reserves and amounts due on cutover day, configuring management agreements, moving owner or trust bank accounts, and agreeing statement periods with owners.

Is RIOO the right fit for your portfolio?

RIOO is the right fit when you run NetSuite, or plan to, and want property and corporate books on one ledger. It suits operators with several entities or investors, finance-led teams and portfolios adding commercial or international assets. If you're not planning to run finance on NetSuite, start with a short fit call.

How do residents experience the switch?

Residents experience the switch as a short, guided change: notice of the new portal, an invitation to register, instructions for setting up autopay and confirmation of their opening balance. Keep the old payment channel open briefly with clear messaging, then close it on the agreed date.

Which AppFolio reports should you archive before switching?

Keep final rent rolls, tenant ledgers, deposit reports, owner statements, vendor 1099 data, bank reconciliations and trial balances by property for every period you may need. Archive them as PDFs and spreadsheets with a retention date, because access to the old system may end with your contract.

FAQ

Switching from AppFolio FAQs

Still curious? Ask the team.

What data can be migrated from AppFolio to RIOO?

You can migrate property structure, units, tenants, active leases, recurring charges, open balances, security deposits, open work orders and recent history from AppFolio. Older history is usually archived as read-only exports or reports. Every load is tied to AppFolio control totals, such as the rent roll and aged receivables, before cutover.

Do we need to keep AppFolio after switching?

Usually only for a short overlap and read-only access to history. Once the first months close cleanly in NetSuite and your archived reports and exports are verified, the AppFolio licence can typically end. Check your contract's renewal date and notice period early so the timing matches your cutover plan.

Will residents and tenants notice the switch from AppFolio?

Yes, a little. Residents and tenants will see a new portal and may need to re-enrol in autopay, because stored payment details rarely transfer between processors. Clear notices a few weeks ahead, with dates, login instructions and payment steps, plus reminders near the first due date, keep collections steady.

Can we migrate from AppFolio in phases?

Yes. Moving one entity, region or asset class at a time is common, with AppFolio and RIOO running side by side during the transition. Each wave follows the same mapping, trial load, tie-out and parallel-run steps, and later waves move faster because templates and lessons carry forward.

Who does the migration work when leaving AppFolio?

RIOO and your implementation team handle data mapping, trial and final loads, and tie-outs, while your team provides AppFolio exports, cleans data such as duplicates and stale leases, and signs off control totals. Responsibilities for each data set are agreed in the project plan before work starts.

Will owners see a different statement?

Yes, the owner statement layout changes when you move to RIOO, although the underlying figures are the same. Send each owner a sample statement and a short explanation of what has moved and why before the first RIOO period, and agree the last AppFolio statement period so nothing is reported twice.

Can we migrate maintenance history?

Open work orders are migrated with their status, vendor and notes, so jobs in progress continue in RIOO without interruption. Closed maintenance history is usually archived as a report or export and attached to the property or unit, keeping it available for reference without loading years of old records.

How do we handle mid-month move-ins at cutover?

Load prorated charges already billed in AppFolio as open invoices on the tenant's RIOO ledger, so the balance is correct at cutover, and start full billing in RIOO from the next period. Payments received after cutover are then applied against those opening invoices as normal.

Can we switch mid-year?

Yes. Switching mid-year is possible, but a month boundary is essential so opening balances come from a closed period. A quarter or year boundary makes owner reporting, budgets and annual statements simpler, because fewer reports need figures from both AppFolio and RIOO.

What happens to residents' saved payment methods?

Saved payment methods stay with the old payment provider, because tokens rarely transfer between processors. Residents set them up again in the new tenant portal, so send clear instructions and reminders before the first rent due date, and keep the old channel open briefly where possible.

Do vendors need to do anything?

Vendors need to confirm their remittance and bank details for the NetSuite vendor record before the first payment run, and learn any new invoice submission steps. If vendors already exist in NetSuite, AppFolio vendors are matched to them to avoid duplicates and split payment history.
