Workflows · Month-End & Consolidation

A close that's mostly review, not reconstruction

When property workflows post to NetSuite as they happen, month-end becomes a review of current records rather than a rebuild from exports. Property P&Ls, receivables and entity consolidation come from the same live data.

Why property close takes so long

The typical property close is a reconciliation project. Export the rent roll, compare it to the ledger, chase unposted payments, re-code repair invoices, build each entity's P&L, then roll them up in a spreadsheet. With many communities in separate LLCs, it can take weeks, and by the time the numbers are agreed they describe a month long gone. The cause is structural: operations and accounting live apart.

What is month-end close for a property portfolio?

Month-end close for a property portfolio is the process of confirming that every rent charge, receipt, vendor bill, accrual and allocation for the period is recorded, reconciled and reviewed, then locking the period and reporting results by property and entity. On RIOO, most of that activity is already in NetSuite before day one of the close.

Property close is harder than a typical company close for three reasons. There are many small cost centres, often one per building, each with its own owner or lender expecting a report. There are many legal entities, frequently one LLC or SPV per asset. And the operational systems that generate transactions, such as leasing, collections and maintenance, have historically lived outside the ledger.

Auditors ask for support behind the numbers, often as a prepared-by-client list. When every figure traces to its lease, invoice or work order inside one system, pulling support becomes retrieval, not research.

How it works

How do teams put month-end & consolidation into practice?

Teams put month-end & consolidation into practice by configuring RIOO to their own policies, training each role on real scenarios and starting with one property or workflow before rolling out further. The examples below show how that typically looks, from set-up to day-to-day use, and which team owns each part of the work.

Because RIOO records lease, collection and maintenance activity as it happens, most steps become reviews rather than data gathering.

How it works

How does consolidation work across property entities in NetSuite?

Consolidation across property entities works through NetSuite OneWorld: each property-owning LLC, fund or SPV is a subsidiary with its own books and base currency, and NetSuite rolls them up through the subsidiary hierarchy with currency translation and intercompany eliminations. RIOO tags every property transaction to the right subsidiary at source.

  2. 02

Leases, charges and vendor bills carry the subsidiary and property, so no re-coding is needed at month-end.

  3. 03

How does close differ for residential and commercial portfolios?

MultifamilyCommercialStudentHOAIndustrialMixed-use

Residential close

Residential close is volume-driven: thousands of small rent charges, late fees, utility recoveries and concessions. The key reviews are delinquency and bad debt reserve, concessions amortisation where applicable, and deposits. RIOO's recurring charge automation means the rent run itself is rarely the bottleneck.

Commercial close

Commercial close is judgement-driven. Straight-line rent adjustments, lease incentives, CAM and service charge accruals against estimates, and percentage rent all need review. See straight-line rent revenue recognition and CAM reconciliation for how RIOO handles them.

Mixed portfolios

Mixed-use assets combine both, often with shared-cost allocations between residential and retail components. Allocation rules run by formula, so each component's P&L and each owner's statement carries its share consistently every month.

Who is RIOO's close workflow NOT for?

RIOO's close workflow is not a fit for organisations that keep their general ledger outside NetSuite. The approach depends on property transactions posting directly to NetSuite, so a business that wants property software feeding a different ERP through monthly journal imports would lose the main benefit and should look at standalone systems with export tools.

It is also not a substitute for close management software where a finance team needs task sign-offs, reconciliation certification and evidence binders across many non-property processes. RIOO makes property data current and traceable; dedicated close tools can sit alongside NetSuite for broader task governance.

Month-end & consolidation in practice

An operator with 12 communities, each in its own LLC, used to spend the first weeks of each month rolling up P&Ls by hand. On RIOO, each community's books are current through the month. The close team clears a short exceptions list, posts depreciation and allocations, reviews variance and consolidates in NetSuite. The time goes into analysis instead of assembly.

What changes when month-end & consolidation runs on NetSuite?

When month-end & consolidation runs on NetSuite through RIOO, operational work and accounting stop being two separate jobs. Transactions post to the general ledger as they happen, reports use the same records as daily work, and controls come from NetSuite roles and approvals. Active leases with no charge generated for the period, often after an amendment.

Vendor bills on hold

Bills failing a PO or receipt match, or awaiting approval beyond a threshold.

Jobs closed in the field with no bill or time recorded, a common accrual gap.

Deposits out of balance

Deposit liability by property that differs from the sum of deposits on active leases.

FAQ

Month-end & consolidation FAQs

Still curious? Ask the team.

Does RIOO replace NetSuite's close tools?

No. RIOO feeds NetSuite's own close tools, such as period management, bank reconciliation, allocations and OneWorld consolidation, with current, property-tagged transactions. Rent charges, receipts, vendor bills and work-order costs are already posted with property and subsidiary context, so the close becomes a review of exceptions rather than a rebuild from exports.

Can each property have its own entity?

Yes. Each property-owning LLC, fund or SPV can be its own NetSuite subsidiary, with its own books, bank accounts and base currency, and consolidation runs through NetSuite OneWorld. RIOO tags leases, charges and vendor bills to the right subsidiary at source, so entity P&Ls need no manual re-coding at month-end.

Can we drill from consolidated results to a single property?

Yes, down to the source transaction. From a consolidated statement you can drill into a subsidiary, then a property, then the individual rent charge, receipt, vendor bill or journal entry behind a balance. Auditors and asset managers can follow the same path, which shortens the time spent answering questions about a number.

How is depreciation handled?

Depreciation runs through NetSuite Fixed Asset Management, where your NetSuite account uses it. Buildings, improvements and park-owned homes are fixed asset records with cost, method and useful life, and the depreciation schedule posts journal entries each period to the correct subsidiary and property. Without that module, depreciation can be posted by journal.

How does RIOO handle management fees between entities?

Management fees can be calculated by rule, such as a percentage of collected rent per property, and posted as intercompany charges from the managing entity to each owning subsidiary. In OneWorld these balances eliminate on consolidation, while each owner's statement still shows the fee charged to that property.

Can different subsidiaries close on different schedules?

Yes. NetSuite period management lets you close accounting periods by subsidiary, so an entity that is ready can be locked while another is still being reviewed. Consolidated reporting runs once the required subsidiaries are closed, and any later adjustment needs a role with permission to post to a closed period.

How long should a property month-end close take?

There is no single right answer, because close length depends on the number of entities, property types and manual steps. Many property finance teams aim to close within the first week of the following month. With transactions posting to NetSuite as they happen, the remaining effort is mostly exception review and analysis.

What reports should be ready at the end of the close?

Most portfolios finish the close with a trial balance by entity, property income statements, budget variance with commentary, receivables aging, deposit liability reconciliation and the consolidated statements. Owner and lender packs are built from the same reports, so external figures match the ledger exactly and need no re-keying.

Make month-end the least dramatic week of the month.
