Spend your day on people, not on systems

One view of residents, leases, payments, requests and tasks across every community you run. Hand-offs happen in the system, and exceptions surface before they turn into complaints.

A manager's day, honestly

Morning: three move-ins, a leak, a resident upset about a late fee, a vendor who hasn't shown up and an owner asking for an occupancy update. Afternoon: renewals, an inspection and a budget question from finance. In a fragmented stack, every one of those means a different screen, a phone call or a spreadsheet. RIOO puts them in one place.

Capabilities

Why is the manager's job so fragmented?

The manager's job is fragmented because each part of it traditionally lives in a different tool: leasing in one system, payments in another, maintenance in a third and budgets in spreadsheets from finance. Each switch costs time, and each copy of the data can be out of date when a resident or owner asks a question.

Resident questions

Balances and request status live in different places.

Arrears

Reports arrive late from finance.

Maintenance

Vendor updates come by phone and email.

Budgets

Compliance

Certificates and checks are tracked in spreadsheets.

How RIOO helps

One profile per resident. Lease, payments, requests, messages and documents together, so the first answer is the right one.

A dashboard of today. Move-ins, open requests, overdue payments, expiring leases and tasks, scoped to your communities.

Hand-offs without email. Requests become work orders, leases become charges and approvals route themselves.

Exceptions, surfaced. Custom alerts for overdue rent, lease expiries and escalated requests. You set the thresholds.

Residents who self-serve. Payments, requests, documents and amenity bookings in the tenant portal mean fewer calls.

Community communication. Announcements, events, notices and urgent alerts, from one place.

How do managers keep sites consistent?

Managers keep sites consistent by using the same checklists, templates and approval rules across every community, set once in RIOO and applied automatically. Consistency matters for residents, who expect the same service at every property, and for owners, who compare performance across sites and need like-for-like data.

Shared checklists

Move-in, move-out and inspection templates.

Message templates

Standard wording for notices and reminders.

Approval rules

The same limits for every site manager.

What regional managers see

Regional and portfolio managers get the same tools across many communities: occupancy, delinquency, open requests and renewal status, compared site by site. Consistent processes make comparisons fair and help spread what works best.

Consistency across sites

When every site follows the same configured workflows, coverage during vacations and hand-overs during staff changes become far easier. A manager covering another community finds the same screens, the same processes and a full history.

What does a property or community manager need from software?

A property or community manager needs software that shows everything about their communities in one place: residents, leases, balances, requests, vendors, budgets and compliance tasks. RIOO gives managers that view on NetSuite data, so they can answer residents, chase arrears and approve work without asking finance or switching between systems.

The test of good software for this role is simple: fewer phone calls, fewer spreadsheets and fewer surprises at month end.

How does NetSuite change the manager's relationship with finance?

NetSuite changes the relationship because managers and finance finally look at the same numbers. In RIOO, a resident's balance, a community's budget variance and a vendor's payment status come from the general ledger, so managers can answer questions themselves and finance spends less time producing reports and explaining differences.

A day on site, before and after

Before. The morning starts with a stack of sticky notes and a full voicemail box. A resident is upset about a late fee that should have been waived, but the payment history is in accounting's system. A move-in is scheduled, but nobody confirmed the unit was cleaned. An owner wants an occupancy update by noon, which means building a spreadsheet. The vendor scheduled for the pool hasn't confirmed, and nobody knows who last spoke to them.

After. The dashboard shows today's move-ins, with readiness tasks marked complete. The resident's profile shows the payment, the fee and the waiver request in one place, so the conversation takes two minutes. Occupancy is live, so the owner gets a link instead of a spreadsheet. The vendor's assignment and history sit on the work order. The manager spends the afternoon walking the property and talking to residents.

How it works

How does a manager's week run on RIOO?

A manager's week on RIOO follows a predictable rhythm, with each task starting from a dashboard rather than a search through emails. The steps below show a typical week for a residential community manager; commercial property managers follow a similar pattern with lease events and recoveries in place of move-ins.

Which numbers should a manager watch?

A manager should watch a few numbers that show the health of their communities and where to act this week. RIOO shows them on the manager dashboard from live NetSuite data, so they always reflect the current position rather than last month's report.

FAQ

Property & community managers FAQs

Still curious? Ask the team.

Can I see only my communities?

Yes. Role-based access scopes your view to the properties and communities assigned to you, so dashboards, resident lists and reports show only your sites. Regional managers can be given several communities at once, and access changes immediately when a manager moves to a different site or region.

Can I set my own alerts?

Yes. Alert thresholds for overdue rent, lease expiries, maintenance escalations and compliance deadlines are configurable, so you are notified when something needs your attention rather than checking reports. Alerts go to your dashboard and, where set up, by email, and each one links straight to the record involved.

Will residents still call?

Some residents will still call, but many routine calls go away. The tenant portal and app handle payments, maintenance requests, documents and amenity bookings, with status updates sent automatically, so residents no longer need to phone to ask whether their payment arrived or when a technician is coming.

Can I post emergency alerts?

Yes. Community-wide alerts and emergency communication plans are supported, so you can tell every resident in a building or community about a water shut-off, fire alarm test or evacuation quickly. Alerts use live occupancy records, and each message is logged with the time it was sent for later review.

Can managers approve purchases on their own?

Managers can approve purchases up to the limits set for their role, such as routine repairs and supplies for their communities. Spend above the limit, capital work or unbudgeted costs route automatically to a regional manager or finance, so managers can act quickly on small items while larger spend gets the right review.

Can managers see owner reports for their properties?

Managers can usually see the owner reports and budgets for the properties they manage, so they understand what owners will see and can explain variances before questions arrive. Access to other properties and to group financials stays with finance and senior management, based on the permissions set for each role.

How long does it take a new manager to learn RIOO?

Most managers learn their daily tasks within their first weeks, because the screens follow the jobs they already do: residents, requests, arrears and approvals. Role-based training uses real scenarios from their sites, and dashboards show what needs attention, so new managers are not left searching for information.

Give your day back to your residents.
