List once. Bring every inquiry home.

Publish available units to Zillow and Trulia from RIOO, and bring the inquiries back into one leasing pipeline, with availability and pricing coming from the same unit records your team manages.

Why listing from the system matters

When listings are managed by hand on each site, they drift. A rented unit stays listed, a price change doesn't propagate, and inquiries land in inboxes nobody watches. Listing from RIOO keeps the source of availability and price in one place, and keeps inquiries in one pipeline.

What is listing syndication for rental properties?

Listing syndication for rental properties is the automated publishing of available units, with prices, photos and descriptions, from a property management system to rental listing sites. RIOO publishes from the unit record to Zillow and Trulia, so the advertised rent and availability come from the same data that leasing and billing use.

Without syndication, someone copies details into each site by hand. That works for a few units and fails at scale: prices drift, rented units stay advertised, and photos go out of date. Syndication turns the listing into a view of the unit record, which matters most for portfolios that turn many units each month, such as multifamily, single-family rental and student housing.

How it works

How does listings work in RIOO?

Listings in RIOO runs inside Oracle NetSuite. The properties, units, leases, tenants and vendors it uses are native NetSuite records, so each step updates the same data finance reports on. There is no separate system to sync, and every action keeps an audit trail. The steps below show how the work flows.

Use cases

How do inquiries flow back into the leasing pipeline?

A listing is only useful if the responses it generates reach a person quickly. These are the stages an inquiry passes through once it arrives in RIOO.

Capture

The inquiry arrives with the unit, the source site and the prospect's contact details.

It routes to the leasing agent responsible for that property, with a response target.

03

Respond

The agent replies, offers tour slots and logs the conversation against the prospect.

04

Convert

Interested prospects apply online, triggering screening and an offer on the advertised unit.

Signed leases keep their original source, so channel reports compare leases, not clicks.

Where listings fit

Listing services matter most for residential leasing, such as single-family, multifamily and student housing. Commercial leasing typically relies on brokers and specialist marketplaces.

How do teams put listings into practice?

Teams put listings into practice by configuring RIOO to their own policies, training each role on real scenarios and starting with one property or workflow before rolling out further. The examples below show how that typically looks, from set-up to day-to-day use, and which team owns each part of the work.

Stale availability. A unit is leased on Monday but still advertised on Friday. Prospects inquire, get disappointed and remember. When availability comes from the unit record, listings can reflect reality.

Price drift. A rent change is made in one place but not the others, so the listed price and the quoted price disagree. Listing from RIOO keeps pricing tied to the unit's pricing strategy.

Lost inquiries. Leads arrive in personal inboxes, listing dashboards and voicemail. Some are answered quickly, some never. A single pipeline means every inquiry is visible, assigned and followed up.

No channel insight. Without consistent source tracking, it's hard to know which channel produces leases rather than clicks. When inquiries land in RIOO with their source, you can compare channels on conversions.

Even the best syndication can't fix a weak listing. A few practices consistently help:

Listing content should follow fair housing advertising rules in your jurisdiction. RIOO publishes what you provide. Your team remains responsible for listing language and criteria, and RIOO helps you apply them consistently across channels.

Confirm which listing sites matter for your market, who owns photo and description quality, and how inquiries should route to your leasing team.

Which unit fields feed a listing?

A listing feed draws on unit fields that already exist in RIOO: address, bedrooms, bathrooms, area, asking rent, recurring fees, availability date, pet policy, amenities and media. Keeping these complete on the unit record means every channel shows the same facts, and changes made once flow to each connected site.

Measuring channel performance

Listing spend is easier to justify when every channel is measured on the same funnel. RIOO's inquiry and lease records support these comparisons.

Advertising rules that affect rental listings by market

USUKUAESGAU5 markets · one NetSuitelocal rules, shared ledger

United States

The federal Fair Housing Act prohibits discriminatory statements in housing adverts, and many states and cities add protected characteristics such as source of income. Several jurisdictions also require fees to be disclosed upfront. Keep standard listing language reviewed and reuse it across properties.

United Kingdom

Rental adverts should state the asking rent clearly, and the Renters' Rights Act in England restricts rental bidding above the advertised rent. Blanket bans on tenants receiving benefits or with children are unlawful. See the Renters' Rights Act guide for what changes for landlords.

Australia

Rental advertising rules are set by each state and territory, and several now ban soliciting rent bids above the advertised price or require a fixed price rather than a range. Keep advertised rent in RIOO as a single figure so every portal shows the same amount.

Singapore and the UAE

In Singapore, listings by agents must follow Council for Estate Agencies rules on advertising. In Dubai, property adverts generally require a Trakheesi permit from the regulator, with the permit number shown on the listing. Store permit references against the unit so they appear on every listing.

Who is RIOO's listing integration NOT for?

RIOO's listing integration is not designed for commercial leasing, where suites are marketed through brokers, agency networks and specialist marketplaces rather than consumer rental sites. Commercial teams usually track broker inquiries directly in RIOO's leasing pipeline instead of syndicating listings to Zillow or Trulia.

It is also not yet a fit for operators who rely on regional portals outside the current directory, such as Rightmove and Zoopla in the UK, Domain and realestate.com.au in Australia, PropertyGuru in Singapore, or Bayut and Property Finder in the UAE. Ask about these during evaluation rather than assuming coverage.

FAQ

Listings FAQs

Still curious? Ask the team.

Which listing sites are supported?

Zillow and Trulia are listed in RIOO's current integrations directory for rental listings. Units are published from their RIOO records with pricing, specifications and media, so listings match what leasing quotes. If you rely on other portals in your market, ask during evaluation whether they are supported or planned.

Do inquiries come back into RIOO?

Inquiries from connected listing sites are designed to arrive in RIOO's leasing pipeline with the unit and source attached, so agents respond from one queue and channel reports compare leases signed rather than clicks. Confirm during implementation how each site delivers inquiries and how quickly they appear.

Does listing availability update automatically?

Availability for listings comes from the unit record, so when a unit is leased or its status changes, the listing can be updated or removed from the same source rather than edited by hand on each site. Timing depends on each portal's feed refresh schedule, which is confirmed during setup.

Can we list on our own website?

Many operators want availability on their own website as well as on portals. Because pricing, specifications and media live on RIOO unit records, they can serve as the source for a website listing page as well. Ask RIOO about the options for your site during evaluation.

Can we list only some units from a property?

Yes. You choose which units are published, for example only those available within the next 60 days or only certain unit types. Units held for renovation, staff accommodation or corporate lets can stay off listing sites while still appearing in internal availability reports, so the leasing team sees the complete picture.

Do listings show the same rent as the lease will charge?

They should, because the advertised rent comes from the unit's pricing in RIOO, which is also used when the lease is drafted. If the price changes, the listing is updated from the same record. Concessions or special offers should be described consistently so applicants are not surprised at the offer stage.
