Plans shaped around your portfolio

A 200-unit residential community and a multi-entity commercial portfolio need different things. RIOO tailors every proposal to what you manage, the workflows you need and how your organization is structured. Tell us about your portfolio and we'll build a clear proposal.

Use cases

What does RIOO look at when it builds a proposal?

RIOO looks at the shape of your portfolio and the work you want the platform to do. That means your property types, the number of properties and legal entities, the markets and currencies involved, the workflows you need at go-live, the integrations you rely on and the scope of data migration and training.

How do RIOO Home and RIOO Professional differ?

RIOO Home and RIOO Professional describe the same NetSuite-native platform pointed at different portfolios. Home is focused on residential operators, with leasing volume, collections and resident service at the centre. Professional is focused on commercial operators, with complex leases, escalations and recoveries. Mixed portfolios use both together in one environment.

How it works

How does RIOO build a proposal?

RIOO builds a proposal in four steps, starting with a conversation about your portfolio and ending with a written proposal your finance and operations leads can review together. Each step uses your own scenarios, so the proposal reflects the work involved in your portfolio rather than a generic package.

How it works

Questions to ask any property software vendor

Comparing vendors is easier when each one answers the same questions in writing. Ask every vendor you evaluate, including RIOO, these questions about scope and fit so that proposals can be compared like for like, and record the answers alongside your demo notes.

?What exactly is in scope??What will implementation involve??Which third-party services are needed??What does it take to leave?Answered on this page
  1. 01

    What exactly is in scope?

The workflows, properties, entities and integrations the proposal covers. Ask for the list in writing, including which property types and markets are included and which modules start later, so you can compare vendors like for like and spot gaps before you sign anything.

  2. 02

    What will implementation involve?

Data migration, configuration, testing and training. Ask who does each task, what your team must provide, such as exports, charge codes and sign-offs, and how the cutover is planned, so the effort on your side is clear and realistic before the project starts.

  3. 03

    Which third-party services are needed?

Payment processing, messaging and e-signature providers. Ask which ones are required, which are optional, and whether you contract with each provider directly, because these services sit alongside the platform and affect resident payments, notices and lease signing from the first day you go live.

  4. 04

How does the proposal handle growth

    or properties you sell?

  5. 05

What does it take to leave?

Data export and access to historical records. Ask how leases, ledgers and documents can be exported in usable formats, and how long history stays accessible, because with RIOO your records live in your own NetSuite account, which keeps them under your control if plans change.

What makes a property software proposal accurate?

An accurate proposal starts from the real shape of your portfolio and the work the platform must do, not from a generic package. RIOO asks for property types, entities, markets, integrations and data sources before it writes anything, because those details decide how the platform is configured and how implementation is planned.

A proposal written before discovery tends to change later, when the real scope appears. A proposal written after a tailored demo can be reviewed by finance, operations and IT with confidence, because it describes the system they have already seen working on their own scenarios.

Checklist

What drives implementation effort up or down?

Implementation effort depends less on the number of units than on complexity. These are the factors that most often change the scope of a RIOO implementation, and knowing them early helps you prepare data and decisions before the project starts, which shortens the timeline for everyone involved.

Implementation phasesDiscoverConfigureMigrate dataTest & trainGo-liveGo-liveJoint project team
  • Data quality. Clean, consistent lease and tenant data migrates quickly; spreadsheets with conflicting records take longer.
  • Number of entities. Each subsidiary adds setup, bank accounts, intercompany rules and testing.
  • Property type mix. Residential and commercial together need two sets of lease templates, charges and workflows.
  • Integrations. Each payment, messaging, document or CRM connection adds configuration and testing.
  • Process change. Redesigning approvals and workflows at go-live takes more time than replicating today's process.
  • Existing NetSuite customisation. Heavily customised accounts need more review before RIOO is configured.

Use cases

How do you compare property software proposals fairly?

Proposals from Yardi, AppFolio, Entrata, MRI, Buildium and RIOO rarely use the same structure. Normalising them makes the comparison honest, and it keeps the decision focused on fit and total effort rather than on whichever document is easiest to read. Use the same five checks for every vendor.

How does a proposal reflect your markets?

A proposal reflects your markets by scoping the payment methods, tax treatment and local workflows each country needs. The tabs below show what typically changes for North America, the UK and other regions; every proposal is tailored to your portfolio, so treat these as discussion points rather than a fixed list.

USUKAESingaporeAU5 markets · one NetSuitelocal rules, shared ledger

United States and Canada

Proposals for North American portfolios reflect the payment methods your residents use, such as ACH and cards, and the gateways you prefer, which you contract directly with the provider.

United Kingdom

UK proposals reflect VAT on services, Direct Debit or bank transfer collection and any configuration needed for deposit protection and client money workflows.

Australia, Singapore and the UAE

Proposals for these markets reflect GST in Australia and Singapore, VAT in the UAE, local payment methods and regional gateway coverage, plus multi-currency consolidation where entities report in different currencies.

Information that helps us prepare your proposal

Sharing a few facts before the first call lets the team prepare a relevant demo and a realistic proposal. None of this needs to be exact; ranges are fine at the start, and the details are confirmed during discovery.

Fit

Who is RIOO for, and who is it not for?

RIOO is a property management system built natively on Oracle NetSuite, so the best fit depends mostly on your finance system and the shape of your portfolio. It suits professional operators who want leasing, operations and accounting in one NetSuite ledger, and it is not designed for teams without NetSuite or for very small landlords.

Strong fitNot a fitMixed portfoliosVacation rentalsRuns NetSuiteSingle small…Finance-led teamsEquipment rentalHonest fit check

RIOO is a strong fit if

  • You run Oracle NetSuite, or are moving to it, as your finance system. RIOO runs inside NetSuite.
  • You manage residential, commercial or mixed portfolios across several entities or currencies.
  • Finance wants property activity on the general ledger as it happens, with no imports or sync jobs.

RIOO is probably not the right fit if

  • You do not use NetSuite and do not plan to. RIOO runs inside a NetSuite account.
  • You are an individual landlord or a very small portfolio looking for a low-cost, self-serve app with no ERP.
  • You need short-term or vacation-rental channel management.
  • You are looking for equipment or asset-rental software. RIOO manages real estate, not equipment rentals.

FAQ

Pricing FAQs

Still curious? Ask the team.

Why don't you publish prices?

Portfolios vary too much for one published figure to be honest. A 200-unit residential community and a multi-entity commercial portfolio need different workflows, entities and integrations, and a single published figure would fit neither. We prefer an accurate written proposal based on your actual scope, prepared after a discovery call and a tailored demo.

Can we phase adoption?

Yes. Many organisations phase adoption, starting with the workflows needed for go-live, such as finances and leasing, then adding maintenance or portals once core processes are stable. Tell us your preferred phasing during discovery, and the proposal will set out each phase, its scope and the order of implementation.

Is there a minimum portfolio size?

RIOO is designed for professional portfolios that use NetSuite as their financial foundation, from single large communities to multi-entity portfolios across several countries. Very small landlords with a few units may be better served by a simpler app. Share your portfolio details and we will tell you honestly whether RIOO fits.

What happens after we request pricing?

A specialist contacts you to arrange a discovery call about your portfolio, systems and priorities, followed by a tailored demo of your own workflows. RIOO then prepares a written proposal covering scope, implementation and next steps, which your finance, operations and IT leads can review together before any decision is made.

Can the proposal cover acquisitions we are planning?

Yes. If you expect to acquire or dispose of properties, or to enter a new market, mention it during discovery. The proposal can then describe how new properties and entities would be onboarded, so the plan reflects the portfolio you expect to run rather than only the one you manage today.
