HOA, condo and strata management software on NetSuite

RIOO helps community associations and the companies that manage them run assessments, reserve funds, owner ledgers, maintenance and board reporting on NetSuite. The same platform adapts to UK block management, Australian strata, Singapore MCSTs and UAE owners associations.

What is HOA management software?

HOA management software runs the finances and operations of a homeowners association, condominium association or similar owners' body. It bills owners for regular assessments and special assessments, tracks operating and reserve funds, manages common-area maintenance and vendors, handles violations and architectural review requests, and produces reports for the board and owners.

The terms vary by country: homeowners and condo associations in the US, block or estate management with service charges in the UK, strata schemes and owners corporations in Australia, management corporations (MCSTs) in Singapore and owners associations in the UAE. The underlying work is similar: collect from owners, maintain shared property, account by fund and report transparently.

How it works

How does a management company run many associations?

A management company runs many associations on RIOO by giving each association its own books, sharing staff and vendors with role restrictions, and applying standard billing, collections and month-end processes everywhere. Each association's governing documents still set its fees, rules and approval thresholds, and board packs are produced per association.

How do developers use RIOO during handover?

Developers often control an association until enough units are sold, so RIOO keeps the developer's and association's books separate, tracks developer-paid assessments on unsold units, and produces the ledgers, reserve balances and vendor records needed when control passes to the owners' board at handover.

How are special assessments handled?

A special assessment is a one-off charge to owners for costs the budget does not cover, such as a roof replacement or legal settlement. RIOO bills it per unit by ownership share or an agreed formula, allows instalment plans where the board approves them and tracks it separately from regular assessments in the association's NetSuite books.

How do reserve funds work?

Reserve funds set money aside for major repairs and replacements identified in a reserve study, such as roofs, lifts and paving. Each year's budget includes a contribution, and spending from reserves needs board approval. Keeping reserves in separate bank accounts and NetSuite accounts makes the reserve balance easy to report against the study.

How do management companies bill their associations?

Management companies usually charge each association a management fee, fixed or per unit, plus agreed extras such as meeting attendance or project management. RIOO can post these fees from the association's books to the management company's books in NetSuite, keeping both sides of the transaction reconciled.

How it works

What does an association's annual cycle look like?

An association's annual cycle runs from budget to close: the board and manager prepare operating and reserve budgets, assessments are set and collected, maintenance and vendor contracts run through the year, delinquency follows the governing documents, and the year closes with financial statements, reserve contributions and audits where required.

Why does NetSuite-native matter for associations?

Associations demand transparency: owners and boards ask where every dollar went. With assessments, vendor bills and fund transfers as NetSuite transactions, board reports drill down to invoices, auditors review one system, and management companies run many associations with consistent controls.

Who is RIOO best for in this segment?

RIOO fits management companies and developers that run NetSuite and manage associations alongside rental or commercial portfolios, for example a developer that retains rental buildings and manages the owners association of the for-sale homes, or a manager with mixed portfolios. Small self-managed associations without an ERP are usually better served by dedicated HOA software.

Why is association management different from rental management?

Associations are governed by owners rather than a landlord. A board sets budgets, collects assessments from owners, maintains common areas and enforces governing documents. Management companies run many associations, each a separate legal entity with its own bank accounts, reserves and reporting, so the accounting model is closer to multi-entity fund accounting than to rent collection.

How do association models differ by country?

Association structures share a pattern of owner contributions and long-term funds, but names differ by country. US associations use assessments and reserves, Canadian condominium corporations use common expenses and reserve funds, Australian owners corporations collect levies, UK blocks charge service charges, and Singapore MCSTs keep maintenance and sinking funds.

Who is RIOO NOT for in this segment?

RIOO suits management companies and developers that run associations on NetSuite alongside other property operations. It is not designed for self-managed associations with a volunteer treasurer, and it does not replace statutory strata registers or voting systems where those are required.

FAQ

HOA, condo & strata FAQs

Still curious? Ask the team.

Is RIOO an HOA management software?

RIOO supports association management on NetSuite, including owner ledgers, regular and special assessments, budgets, common-area maintenance and board reporting. It is best suited to management companies and developers that already run NetSuite and manage associations alongside rental property, rather than to self-managed associations seeking a standalone tool.

Can RIOO track reserve funds separately?

Yes. Operating and reserve funds can be tracked separately using NetSuite's accounting structures, such as separate accounts, segments or subsidiaries, with contributions, transfers and balances reported by fund. That lets boards see reserve status alongside the operating budget. Confirm the exact configuration for your associations during implementation.

Does RIOO support UK block management service charges?

RIOO supports service charge budgets, apportionment by unit, demands and year-end reconciliation for UK blocks and estates, with costs posted by building in NetSuite. Statutory consultation requirements for major works and long-term agreements should be managed with your advisers. See the CAM and service charge page for detail.

Can owners pay assessments online?

Yes. Owners can pay assessments, special levies and other charges through the portal using integrated payment gateways, and can set up recurring payments where offered. Each payment is applied to the owner's ledger and posted to the association's books in NetSuite, so delinquency reports stay current.

Can one company manage many associations in RIOO?

Yes. Each association keeps separate books, using its own NetSuite subsidiary or segment, while staff, vendors and standard processes are shared across associations. Role-based restrictions limit each manager to the associations they look after, and board reports are produced per association from the same platform.

Does RIOO support architectural review requests?

Owners can submit architectural or alteration requests as service requests with drawings and photos attached. The board or manager records the decision, conditions and date on the request, so there is a history for each unit when it is sold or when a dispute arises.

Can boards see financial reports online?

Board members can be given access to budget versus actual, delinquency and reserve reports for their association only, so they review the same figures the manager uses without asking for spreadsheets. Access is limited by role so each board sees just its own association.

How are late assessments collected?

Late assessments follow the collection policy in the governing documents: reminders, late fees and interest where allowed, then formal notices and, ultimately, liens or legal action under local law. Each step is recorded on the owner's account, so the board can see exactly where every delinquent account stands.
