CAM reconciliation software that starts from your general ledger

RIOO runs common area maintenance (CAM) reconciliation on NetSuite: expense pools come straight from the property's GL lines, tenant shares come from lease records, and true-up invoices post as NetSuite transactions. The same engine supports UK service charges and Australian outgoings recovery.

What is CAM reconciliation?

CAM reconciliation is the annual process of comparing what commercial tenants paid in estimated recoverable expenses with what the landlord actually spent, then billing or crediting the difference according to each lease. Recoverable expenses typically include common area cleaning, landscaping, security, utilities, insurance, property taxes and management fees, subject to each lease's definitions, exclusions, caps and gross-up provisions.

It is one of the most error-prone processes in commercial real estate because it combines accounting data with lease-by-lease rules. When the expense data sits in one system and the lease rules in another, every reconciliation starts with an export. In RIOO, both are in NetSuite.

How it works

What are the steps in a year-end reconciliation?

A year-end reconciliation has five steps: close the year's expenses in NetSuite and confirm recoverable account mapping, calculate each pool's total, apply gross-ups, caps and exclusions per lease, compare each tenant's share with estimates paid, then issue statements and invoices or credits for the difference.

How it works

How does a reconciliation run in RIOO?

A reconciliation in RIOO runs from the general ledger: you close the year's expenses, RIOO groups them into recovery pools, applies each lease's share, gross-up, cap and exclusion rules, compares the result with estimates billed, and creates statements and NetSuite invoices or credit memos for each tenant.

How is a tenant's pro-rata share calculated?

A tenant's pro-rata share is usually its leased area divided by the building's or centre's total leasable or occupied area. Leases may specify gross-up provisions for vacancy, exclusions for anchor tenants, caps on increases or base-year and expense-stop structures, all of which change the share billed.

How are CAM estimates set for the next year?

Estimates usually start from the current year's actual recoverable costs, adjusted for known changes such as new contracts, insurance renewals and tax assessments. Each tenant's monthly estimate is its share of the budget divided across the billing periods, so a good budget reduces large true-ups at year-end and improves tenant relationships.

In detail

What does RIOO handle?

RIOO handles the full recovery cycle for commercial property: expense pools built from NetSuite accounts, pro rata shares by area or fixed percentage, gross-ups, caps, base years and exclusions, monthly estimates, year-end true-ups, tenant statements and portal access, plus UK service charges and Australian outgoings on the same model.

Expense pools from the GL

Define pools (CAM, taxes, insurance, utilities) by account and property segment; actuals flow from NetSuite bills and journals.

Pro-rata shares

Tenant share by leased area over building area, or by fixed percentage, with denominators that can exclude anchors or vacant space as leases require.

Gross-ups

Adjust variable expenses to a stated occupancy level, commonly 95% or 100%, so tenants in a partly vacant building pay a fair share. See our CAM gross-up example.

Admin fees

Management or administrative fees as a percentage of recoverable costs where the lease allows.

Monthly estimates

Recurring estimated charges on tenant ledgers, revised after each reconciliation.

True-up statements

Tenant-ready statements showing pools, shares, adjustments, estimates paid and balance due or credit.

Posting

True-up invoices and credits post to NetSuite with links back to the calculation.

What costs are usually recoverable as CAM?

Recoverable costs depend on the lease, but common area maintenance usually covers cleaning, landscaping, snow removal, security, common utilities, repairs to shared areas, insurance and property management fees. Real estate taxes are often recovered as a separate pool. Capital costs are frequently excluded or amortised.

Which lease structures affect reconciliations?

The lease structures that affect reconciliations are triple net leases, where tenants pay their share of taxes, insurance and maintenance; modified gross leases with base years or expense stops; full-service gross leases with few recoveries; and retail leases with extra pools for marketing or food court costs.

Why does NetSuite-native matter for CAM?

Recoveries are only as accurate as expense coding. When vendor bills are entered in NetSuite with property segments and pools, the reconciliation reads what finance already approved. Tenant disputes are resolved by drilling from a statement line to the invoices behind it. Read NetSuite CAM reconciliation automation.

How do UK service charges and Australian outgoings differ?

UK service charges and Australian outgoings differ mainly in rules. UK commercial service charges follow the lease and the RICS code, with residential leaseholders protected by statute. Australian outgoings follow the lease plus state retail leases legislation, which sets disclosure statements and annual reconciliation timing.

UK service charges

Commercial service charges follow the lease and the RICS Professional Statement on service charges in commercial property; residential leasehold service charges follow statutory consultation and demand requirements. VAT applies where the landlord has opted to tax.

Australian outgoings

Retail leases are governed by state retail leasing legislation that requires outgoings estimates and annual statements, often audited, within set timeframes. Land tax recovery rules vary by state. See RIOO in Australia.

UAE and Singapore service charges

Jointly owned properties levy service charges on owners; commercial leases may recover costs from tenants under the lease. See RIOO in the UAE and RIOO in Singapore.

Who is CAM reconciliation in RIOO NOT for?

CAM reconciliation in RIOO is not for landlords with only gross leases and no recoveries, and it is not a lease audit service for tenants checking a landlord's charges. It is designed for owners of commercial, retail and mixed-use property who bill recoveries and run NetSuite.

What does a worked example look like?

A worked example uses a 100,000 sq ft retail centre that is 90% occupied. Variable expenses are grossed up to 95% occupancy, each tenant's share is based on its leased area, and the true-up is the difference between that share and the estimates paid:

Gross-up conventions vary by lease. More detail: CAM reconciliation for commercial leases.

FAQ

CAM & service-charge reconciliation FAQs

Still curious? Ask the team.

What is CAM reconciliation software?

CAM reconciliation software calculates each commercial tenant's share of recoverable operating expenses for the year, applies lease rules such as gross-ups, caps, base years and exclusions, compares the result with the monthly estimates the tenant paid, and produces true-up statements and invoices or credits. RIOO does this from NetSuite expenses and lease records.

Does RIOO support gross-ups and caps?

Yes. RIOO applies gross-up percentages to variable expenses, so tenants in a partly occupied building pay a fair share, and supports caps on controllable expenses, base years and expense stops as defined on each lease. Test your most complex lease clauses in a demo before relying on them.

Can tenants see the detail behind their CAM statement?

Yes. RIOO CAM statements show each expense pool, the tenant's pro rata share, gross-up and cap adjustments, and the estimates already paid, so the balance due or credit is clear. When a tenant audits the reconciliation, the supporting vendor invoices can be provided directly from NetSuite, because every expense is a NetSuite transaction.

Does RIOO handle UK service charges?

Yes. RIOO supports UK service charge budgets, apportionment across tenants or leaseholders, on-account demands and year-end reconciliation with balancing charges or credits, all on NetSuite records. Statutory requirements for residential leaseholders and the RICS service charge code should be reviewed against your portfolio before go-live.

How often can we reconcile?

Annual reconciliation is most common, usually after the calendar or fiscal year closes. RIOO can also run reconciliations quarterly or on each lease's anniversary where leases require it, using the same expense pools, shares and rules, so mixed portfolios with different lease terms reconcile on their own schedules.

Can RIOO handle partial-year tenants?

Yes. RIOO prorates expense shares for tenants who moved in or out during the reconciliation period, based on the days each lease was active. A tenant who joined in July pays only for the months they occupied, and vacant periods follow the lease's gross-up rules rather than landing on other tenants.

Do reconciliations support caps and gross-ups?

Yes. RIOO applies caps on controllable expenses, gross-up percentages for variable costs, base years and expense stops per lease, exactly as each lease defines them. Different tenants in the same building can therefore follow different rules in the same reconciliation run, with each adjustment shown on their statement.

Can tenants see their reconciliation online?

Yes. Reconciliation statements can be shared through the RIOO tenant portal, showing pools, shares, adjustments and estimates paid, alongside invoices and payment history. Tenants can pay a balance due online or see a credit applied to future charges, which cuts down on emailed statements and follow-up questions.

How long should tenants have to audit a reconciliation?

Tenant audit rights are set by each lease, commonly 60 to 180 days after the reconciliation statement is delivered. Keep supporting invoices, pool definitions and calculations available for that window. Because RIOO expenses are NetSuite transactions, the evidence for any line can be pulled without searching archives.

Are UK service charges supported?

Yes. UK service charges follow the same RIOO process as CAM: a budget by schedule, on-account demands billed quarterly or monthly, then a year-end certificate and reconciliation with balancing charges or credits to each tenant. Costs come from NetSuite expenses coded to the service charge schedule.

Can estimates be adjusted mid-year?

Yes. Monthly CAM estimates can be revised mid-year when budgets change, for example after an insurance renewal or tax reassessment. RIOO bills the new estimate from the next period, keeps the history of earlier amounts, and the year-end reconciliation compares actual expenses with everything the tenant actually paid.
