Property Management Software Features on NetSuite

Five modules. One record. Every property.

RIOO brings property operations and property accounting together inside Oracle NetSuite. Leasing, collections, maintenance and resident service all write to the same records your finance team closes the books on.

One system of record, not five systems to reconcile

Most property teams run on a stack: a property management system for leases, an accounting package for the ledger, a spreadsheet to bridge the two, and a handful of point tools for payments, signatures and work orders. Every hand-off is a place where numbers drift.

RIOO is built natively on NetSuite. Property, building, unit, tenant and lease records live alongside your financial records. When a lease is signed, a payment is received or a work order is closed, the property workflow creates the matching NetSuite transaction itself. Nothing is exported later. Your rent roll and your financial statements tell the same story because they come from the same place.

What is the RIOO platform?

The RIOO platform is a property management system built natively on NetSuite, covering leasing, property management, finances, maintenance and portals for residential and commercial portfolios. Because it runs inside NetSuite, property records and the transactions they create live in the same database as your general ledger, with no sync between a property system and accounting.

The platform is organised into five modules that hand work to each other through shared records.

    A lease is signed

in Leasing & Sales. Charges, deposits and the rent schedule are created against the tenant and unit.

  2. 02

    Rent is billed and collected

in Finances. Payments post to the tenant ledger and the general ledger without re-keying.

  3. 03

    A resident reports a leak

through the tenant portal. Maintenance turns it into a prioritized, assigned work order.

  4. 04

    The repair is invoiced

by a vendor. AP matches it to the work order and posts the cost to the right property and expense category.

  5. 05

    Month-end arrives

Property P&Ls, occupancy and receivables are already current, because every step above wrote to the same ledger.

How it works

How should you evaluate property management software features?

Evaluate property management software features by testing complete workflows rather than ticking a feature list. Almost every product claims rent collection or maintenance, but the differences show in how those features connect to each other and to accounting. These steps keep an evaluation focused on what matters.

How do the modules share data?

The modules share data because they all use the same NetSuite records: one property, one unit, one tenant, one vendor and one ledger. A lease created in Leasing & Sales is the same record Finances bills from and Maintenance links work orders to, so there is no copying between modules and no reconciliation step.

Vendor

General ledger

Every module posts to the same books.

Connected at the edges

Core property and financial records stay in NetSuite. External services connect around them: payment gateways, e-signature, messaging, CRM, listings and utility billing. RIOO's integrations directory lists 19 providers today.

Which features does each module include?

Each RIOO module covers one part of the property business, and the features in it share records with every other module. The table summarises the main features in each module so you can see where a process starts and which module it hands work to next.

Checklist

Which questions should you ask about the platform?

Ask these questions in any platform evaluation, including RIOO's, to understand how the product will work in your organisation over several years. Clear answers reduce the risk of surprises after you sign, especially around data, upgrades and integrations, and the effort needed from your own team.

?Where is each property record stored??How are roles and permissions managed??How is support provided after go-live?Answered on this page
  • Where is each property record stored?
  • How does the product behave during NetSuite upgrades?
  • Which integrations are native and which use third-party connectors?
  • How are roles and permissions managed?
  • What does implementation involve for a portfolio like ours?
  • How is support provided after go-live?

Why does a native platform reduce total cost?

A native platform reduces total cost because there is one system to license, secure, upgrade and support, and no integration to maintain between property software and accounting. Teams also stop spending time reconciling the two. The savings show up in fewer tools, shorter month-end closes and less IT effort around NetSuite releases.

Built for residential and commercial: RIOO Home and RIOO Professional

The same platform serves two audiences. RIOO Home is for residential portfolios: single-family and multifamily, student housing, public and social housing, and manufactured housing communities. RIOO Professional is for commercial portfolios: offices and workspaces, industrial buildings and warehouses, and malls and retail. Residential and commercial processes can run side by side in one environment, so mixed portfolios don't need two systems.

Who is the RIOO platform NOT for?

The RIOO platform is not designed for organisations that do not use, or do not plan to use, NetSuite as their financial system. It is also more than a small landlord with a few units needs. It suits mid-sized and large portfolios that want property operations and accounting on one NetSuite foundation.

FAQ

Platform FAQs

Still curious? Ask the team.

Is RIOO a separate application that syncs with NetSuite?

No. RIOO is built natively on NetSuite, so core property records and the transactions they create live in your NetSuite account. External tools such as payment gateways still connect through integrations. Because there is no second database, there is no nightly sync to monitor and no reconciliation between two systems at month-end.

Do I need NetSuite already?

RIOO assumes NetSuite is your financial foundation, because it runs inside your NetSuite account. If you already use NetSuite, RIOO adds property management to it. If you are evaluating NetSuite and RIOO together, the demo walks through both so you can see the combined system.

Can I start with one module?

Many portfolios start with the modules that solve their biggest problem first, such as finances and leasing, and add maintenance or portals in a later phase. The phasing is agreed in your proposal, based on your portfolio and plans. Each phase goes live on the same NetSuite records.

Which property types does RIOO support?

Residential (single and multifamily, student, public and social, manufactured housing, condominiums and HOAs) and commercial (offices, industrial, warehouses, retail and mixed portfolios). Residential and commercial run on the same platform and the same NetSuite account, so mixed portfolios do not need two systems.

Does RIOO work across countries and currencies?

Yes. Multi-country and multi-currency reporting come through NetSuite, so each entity keeps local books while the group reports in one currency. Consolidation across legal entities typically uses NetSuite OneWorld, which handles subsidiaries, exchange rates and eliminations. Ask about the markets you operate in during the demo.

Can RIOO handle residential and commercial properties together?

Yes. RIOO Home covers residential portfolios and RIOO Professional covers commercial, and both can run in the same NetSuite account. Mixed-use buildings and mixed portfolios can hold residential and commercial leases side by side, with separate workflows and reports for each segment and one consolidated view of the portfolio.

Does RIOO replace NetSuite modules we already use?

No. RIOO adds property management records and workflows to NetSuite and uses your existing modules, such as the general ledger, payables, fixed assets and OneWorld. Your chart of accounts, entities and reports stay in place, and property transactions post into them rather than into a separate system.

How often does the platform receive new features?

RIOO maintains the platform against NetSuite's twice-yearly releases and adds features over time, so customers benefit from improvements without a separate upgrade project. Release notes explain what changed, and the team helps administrators plan testing of critical workflows such as rent runs and the month-end close before each release.

See the whole portfolio move as one. We'll trace a real lease from signature to journal entry in your demo.
