Rioo Maintenance

Keep every property working, and every repair accounted for

Tenant requests become prioritized, assigned work orders. Preventive work runs on schedule. Assets carry their full history. When the work is done, its cost lands in the right property and expense category.

Maintenance is operations and finance at once

A dripping tap is a resident experience problem, a scheduling problem and, eventually, a cost on a P&L. In most stacks, those three live in different places: the request in a portal, the work order in a maintenance app, and the invoice in accounting. RIOO connects them, so the request, the work and the cost are one chain you can follow end to end.

What is property maintenance software?

Property maintenance software manages the repair and upkeep of buildings and units: resident requests, work orders, technician and vendor scheduling, preventive maintenance, inspections, assets and the cost of each job. RIOO Maintenance does this inside Oracle NetSuite, so every completed job carries its property, unit and asset into the accounts payable and general ledger records it creates.

Maintenance is where resident satisfaction and operating margin meet. Slow repairs drive move-outs and complaints; poorly coded repair bills make property P&Ls unreliable; and missing asset history turns every replace-or-repair decision into a guess. RIOO Maintenance treats those as one problem, with one record per job that operations, residents and finance all read.

How it works

How does RIOO Maintenance work in RIOO?

RIOO Maintenance works in six steps: report, triage, assign, work, close and account. A request becomes a prioritised work order, the right technician or vendor does the job, completion is recorded on the unit and asset, and the cost posts to the right property in NetSuite.

  1. 01

    Report

A resident submits a request through the portal, or staff log it.

  2. 02

    Triage

The request becomes a work order with a priority and category.

  3. 03

    Assign

A technician or vendor is assigned by skill, availability and workload.

  4. 04

    Work

Field teams update status on mobile, and the resident sees progress.

  5. 05

    Close

Completion is recorded against the unit and asset history.

  6. 06

    Account

Vendor bills match to the work order, and the cost posts to the right property and expense category in NetSuite.

How it works

How do you build a preventive maintenance programme in RIOO?

You build a preventive maintenance programme in RIOO by registering the assets that matter, setting a recurring schedule for each, and assigning the work to the right technician or vendor. RIOO then generates work orders on time, records completion and evidence, and shows what is due, done and overdue by property.

In detail

How do in-house technicians and vendors share the work?

In-house technicians and vendors share work in RIOO through the same work-order queue, with assignment rules deciding who gets each job. Routine and urgent jobs often go to site teams, specialist trades and overflow go to approved vendors, and every job, whoever does it, ends with completion evidence and a cost on the same record.

Assignment by availability

Workload and schedules balance jobs across technicians.

Vendor dispatch

Approved vendors receive work orders with scope, access notes and asset history.

Mobile updates

Vendor documents

Insurance and licence expiry tracked on each vendor record.

Performance tracking

Completion time, callbacks and cost compared across vendors and teams.

Reactive and preventive, in one place

Most maintenance software is either a ticket queue or a planner. RIOO does both. Preventive schedules for HVAC servicing, fire safety inspections and elevator checks run alongside reactive requests, so your team sees one workload and one calendar.

Most teams start with service requests and work orders, then add preventive schedules and asset records once the basics are working.

How do maintenance costs reach NetSuite?

Maintenance costs reach NetSuite as vendor bills, internal labour and parts entries, or tenant recharges, each linked to the work order that caused them. Because the work order already knows the property, unit, asset and category, the cost lands in the right expense, recoverable or capital account when the bill is approved, without re-coding by accounts payable.

Use cases

Which maintenance inspections are required by market?

Maintenance inspections required by market differ in what must be checked, how often and who may do it. RIOO stores each obligation as a recurring task on the property or asset, with certificates attached, so a portfolio across several countries can see every inspection due without separate trackers. Confirm current rules with local advisers.

Smoke and carbon monoxide alarm rules vary by state, and elevators and boilers are inspected under state or city codes.

02

United Kingdom

Landlords need an annual gas safety check and, for private rentals in England, an electrical safety report at least every five years. See UK landlord compliance.

03

Australia

Smoke alarm requirements vary by state, with Queensland requiring interconnected photoelectric alarms in rental homes, and pool safety rules apply where relevant.

04

Singapore

Lifts need regular inspection to keep their permit to operate, and fire safety systems follow SCDF requirements.

05

United Arab Emirates

Fire and life safety systems must be maintained by approved contractors under civil defence rules in each emirate.

Compare

What is the difference between reactive, preventive and planned maintenance?

Reactive maintenance fixes something after it breaks, preventive maintenance services equipment on a schedule so it breaks less often, and planned maintenance replaces or upgrades components as programmed capital work. Most portfolios need all three, and RIOO runs them in one workload so technicians and vendors see a single calendar.

Who is RIOO Maintenance NOT for?

RIOO Maintenance is not a computerised maintenance management system for factories, fleets or production lines. It is built for real estate: units, buildings, common areas and the assets that serve tenants. Industrial operators maintaining their own production equipment need plant maintenance software, while their landlords can still use RIOO for the building.

It is also not a building management system. RIOO records inspection results and asset history, but live control of heating, ventilation, access and alarms stays with the building's control systems.

RIOO Maintenance in practice

A resident in building C reports no hot water at 7am. By 7:05 there's a high-priority work order assigned to the on-call technician, who has the water heater's service history on their phone. By noon it's fixed, the resident has been updated in the portal, and the replacement part's invoice is waiting in AP, already matched to the work order and coded to building C.

What changes

What changes when RIOO Maintenance runs on NetSuite?

When RIOO Maintenance runs on NetSuite through RIOO, operational work and accounting stop being two separate jobs. Transactions post to the general ledger as they happen, reports use the same records as daily work, and controls come from NetSuite roles and approvals. The changes below are the ones teams usually notice first.

FAQ

RIOO Maintenance FAQs

Still curious? Ask the team.

Can residents submit and track requests?

Yes. Residents submit maintenance requests through the RIOO tenant portal, with a description, category and photos, and track each one from submission to completion. They see when the job is assigned, scheduled and finished, can add comments, and receive updates automatically, which cuts follow-up calls and keeps a complete history on the unit.

Does RIOO support preventive maintenance?

Yes. RIOO supports preventive maintenance with recurring schedules, inspections and compliance checks that run alongside reactive requests in one workload. Work orders are generated ahead of each due date for technicians or vendors, completion is recorded with evidence, and managers see what is due, done and overdue by property and asset.

Can technicians work from mobile?

Yes. Technicians and field teams can view their schedules, open work orders, update progress, add photos and receive alerts from a phone or tablet. Updates reach the office and the resident straight away, so nobody waits for paperwork at the end of the day.

Do repair costs reach the GL?

Yes. Repair costs reach the NetSuite general ledger through the vendor bill or internal cost linked to each work order, coded to the correct property, unit and expense category. Because the work order already holds that context, accounts payable confirms the coding rather than guessing it, and property P&Ls show maintenance spend accurately.

Can residents rate completed maintenance work?

Yes. Residents can be asked to rate completed maintenance work through a short survey after a work order closes, and their scores and comments are kept on the work order and resident profile. Managers use the results to spot repeat issues, compare vendors and technicians, and follow up quickly when a resident is unhappy.

Fix it fast, and know what it cost.
