Workflows · Request To Expense

From "my sink is leaking" to the right line on the P&L

Follow a repair from the resident's request through work order, technician or vendor, invoice and approval, all the way to a correctly coded expense on the property's books.

Why repair costs go missing

In most portfolios, the request, the work and the invoice live in three places. The bill reaches accounting without context, and someone guesses which property and expense category it belongs to. Asset history never learns what was spent. Budgets drift. RIOO connects each step, so the cost arrives already knowing where it belongs.

What is the request-to-expense workflow?

The request-to-expense workflow is the path from a maintenance request to a correctly coded expense: request, work order, assignment, purchase order where needed, completed work, vendor bill, approval and posting. In RIOO, every step shares the property, unit and asset, so the cost reaches the right NetSuite account without anyone re-coding it.

The workflow sits across three teams that rarely share a system: site staff who take the request, technicians or vendors who do the work, and accounts payable who pay for it. When the hand-offs happen by email, the invoice that finally reaches AP has lost its context. Request to expense in RIOO keeps the context attached from the first report to the final payment.

How it works

How does three-way matching work for maintenance invoices?

Three-way matching for maintenance invoices compares the purchase order, the confirmation that the work was done and the vendor's bill before payment. If quantities, prices or totals differ beyond your tolerance, the bill is held for review. RIOO uses the completed work order as the proof of completion for each job.

How do approval thresholds work for maintenance spend?

Approval thresholds for maintenance spend route each bill or purchase order to the right approver based on amount, property and category. Small routine repairs can be approved on site, larger jobs go to a regional manager, and capital work needs finance or asset manager approval, so spend is controlled before it is committed rather than after.

Limits are set to your policy.

How does request to expense handle recharges and insurance claims?

Request to expense handles recharges and insurance claims by flagging the work order at triage, so the cost follows the right path from the start. A recharge creates a tenant invoice after the vendor bill is approved, and an insured loss collects costs on one claim reference until the insurer pays.

Tenant-caused damage

The work order is marked rechargeable, and the approved cost is invoiced to the tenant with evidence attached.

Warranty repairs

The asset's warranty is checked first, so the manufacturer or installer is contacted before a paid vendor.

Insured losses

Costs from a flood or fire gather under a claim reference for the insurer.

Deposit deductions

Move-out repairs can be deducted from the deposit, itemised against the inspection.

Commercial recoveries

Recoverable costs flow into service charge or CAM pools for year-end reconciliation.

What it unlocks

When maintenance costs post with context, you can answer questions that used to need a project: What did we spend on HVAC across the portfolio last year? Which building's plumbing costs are rising? Is this water heater worth repairing again? Over time, maintenance data supports capital planning and helps identify assets nearing the end of their useful life.

Recoverable or not

For commercial properties, some maintenance costs are recoverable from tenants through CAM. Coding costs correctly at the source makes the year-end recovery pool cleaner.

How do teams put request to expense into practice?

Teams put request to expense into practice by configuring RIOO to their own policies, training each role on real scenarios and starting with one property or workflow before rolling out further. The examples below show how that typically looks, from set-up to day-to-day use, and which team owns each part of the work.

Repair spend by property, category, asset and vendor, rime to attend and time to completes, and repeat issues by unit or asset, all drawn from the records above.

How should maintenance costs be coded in NetSuite?

Maintenance costs should be coded in NetSuite by property, unit or asset, and by a cost category that tells finance whether the cost is a routine expense, a recoverable cost or a capital item. RIOO sets most of that coding from the work order, so AP confirms it rather than deciding it when the bill arrives.

Recoverability depends on each lease, and capitalisation on your accounting policy.

Who is the RIOO request-to-expense workflow NOT for?

The RIOO request-to-expense workflow is not designed for organisations that pay maintenance bills outside NetSuite, because the workflow ends in NetSuite payables. It is also not a procurement marketplace for sourcing new vendors; RIOO assigns work to vendors you have approved and records their performance.

Very small portfolios that handle a few repairs a month by phone may find the full workflow more structure than they need, although they still benefit from logging requests so cost and asset history are kept.

What changes

What changes when request to expense runs on NetSuite?

When request to expense runs on NetSuite through RIOO, operational work and accounting stop being two separate jobs. Transactions post to the general ledger as they happen, reports use the same records as daily work, and controls come from NetSuite roles and approvals. The changes below are the ones teams usually notice first.

Use cases

Which maintenance cost reports should asset managers review?

Asset managers should review four maintenance cost reports each month, because together they show where spending is rising, which vendors deliver value and which assets need capital planning. Each report is a NetSuite saved search or dashboard built on RIOO work orders and vendor bills, filtered by property and period.

FAQ

Request to expense FAQs

Still curious? Ask the team.

Can POs link to work orders?

Yes. Purchase orders link to their originating work orders and property records in RIOO, so each PO carries the unit, asset and scope of the job. When the vendor's bill arrives, it is matched to that PO and work order, and the approved cost posts to the right property and expense category in NetSuite.

Is overspend caught before posting?

Yes. Overspend is caught before posting when approval workflows are configured: bills that exceed the PO, the matching tolerance or the property's budget are flagged and routed to a reviewer before approval. Approvers see the work order, the PO and the variance together, so they can approve, query or reject the bill.

Do residents see progress?

Yes. Residents see the progress of their maintenance requests in the RIOO tenant portal, from submission through assignment, scheduling and completion. Status updates from technicians and vendors appear as the work moves, and residents can add comments or photos, which reduces follow-up calls to the office and keeps the request history complete.

Does the cost update the asset's history?

Yes. The cost of each completed work order is added to the service history of the asset it relates to, such as a boiler, elevator or HVAC unit. Over time, that history shows total repair spend, failure frequency and vendor performance for the asset, which helps finance and operations plan replacements.

Can technicians record parts and labour on the work order?

Yes. Technicians can record parts used, labour time, notes and photos on the RIOO work order, from a phone in the field or at a desk. Those details support the vendor or internal cost, feed the asset's service history and help managers compare repair costs across units, buildings and vendors over time.
