Take payments anywhere. Post them in one place.

RIOO connects to payment gateways (Cardknox, AsiaPay and Cybersource in the current directory) so residents and tenants can pay online, while every payment applies to the tenant ledger and the NetSuite general ledger.

Why the gateway is only half the story

A payment gateway moves money. The harder part is what happens next: matching the payment to the right tenant and charge, applying partial payments correctly, updating receivables and posting to the ledger. In a fragmented stack, that's a reconciliation job. In RIOO, the payment lands on the tenant's ledger and posts to NetSuite as part of the same workflow.

How it works

How are failed and returned payments handled?

Failed and returned payments are handled by reversing the original receipt in NetSuite, reopening the charges it had paid, and notifying the property team and tenant. The audit trail shows both the original payment and the reversal, so nothing is deleted and the tenant ledger history stays complete.

How it works

How does payments work in RIOO?

Payments in RIOO runs inside Oracle NetSuite. The properties, units, leases, tenants and vendors it uses are native NetSuite records, so each step updates the same data finance reports on. There is no separate system to sync, and every action keeps an audit trail. The steps below show how the work flows.

How do teams put payments into practice?

Teams put payments into practice by configuring RIOO to their own policies, training each role on real scenarios and starting with one property or workflow before rolling out further. The examples below show how that typically looks, from set-up to day-to-day use, and which team owns each part of the work.

How a payment is applied affects receivables, late fees and disputes. Consider a tenant who owes last month's parking fee and this month's rent, then pays less than the total. Should the payment clear the oldest balance first, current rent first, or follow a custom order? Different portfolios, and sometimes different jurisdictions, answer differently. RIOO lets you configure allocation rules, so every partial payment is applied the same way, every time.

A few practices consistently help:

Payments posted through RIOO already carry tenant, unit and property context. When gateway deposits arrive in the bank, finance reconciles against transactions that are already in the ledger, rather than matching a processor report to a spreadsheet.

What GL entries does a rent payment create?

Each stage of a payment produces a specific NetSuite entry. Knowing them helps finance teams reconcile with confidence.

01

Charge

The lease invoice debits accounts receivable and credits rent income for the property and period.

02

Payment

The customer payment debits undeposited funds or a clearing account and credits accounts receivable.

03

Settlement

The bank deposit moves funds from clearing to the operating bank account for the subsidiary.

04

Fees

Gateway processing fees are recorded as an expense, or recovered from tenants where your policy and local law allow.

05

Reversal

A returned or charged-back payment reverses the receipt, reopens the charge and may trigger a returned-payment fee.

  • Confirm the gateway account is contracted and boarded for each subsidiary that collects rent.
  • Map each property to the correct bank account and clearing account in NetSuite.
  • Decide your allocation order and partial payment policy, and check them against local law.
  • Agree who handles chargebacks and returned payments, and within what timeframe.
  • Test a payment, a refund and a reversal in sandbox before go-live.
  • Tell tenants how to enrol in autopay and what the cut-off date is each month.

How does an online rent payment reach the NetSuite ledger?

An online rent payment reaches the NetSuite ledger in one continuous flow: the tenant pays in the RIOO portal, the connected gateway authorises the transaction, RIOO applies the amount to open charges on the tenant ledger, and NetSuite records a customer payment that reduces receivables and increases undeposited funds or cash for that property.

The second half of the journey happens when the gateway settles. Settlement deposits usually arrive as batches, net of fees, a day or more after authorisation. Finance then matches each bank deposit to the group of payments it contains and records processing fees as an expense. Because every payment already carries tenant, unit, property and subsidiary, that reconciliation is a matching exercise rather than detective work.

Which payment methods suit each market?

The right payment methods depend on the market: US tenants expect ACH and cards, UK tenants Direct Debit, Australian tenants BPAY, Singapore tenants PayNow or GIRO, and UAE tenants often pay annual rent by post-dated cheques. RIOO applies each payment to the tenant ledger in NetSuite, whichever method or gateway is used.

Who are RIOO's payment integrations NOT for?

RIOO's payment integrations are not designed for operators who want the software vendor to act as their payment processor and hold funds in a vendor account. Payments run through a gateway contracted for your organisation and settle to your bank, so you keep the merchant relationship, fees negotiation and settlement visibility.

They are also not a fit where rent is collected entirely by a separate managing agent who only reports totals. In that model there are no tenant-level receipts to apply, so the agent's statement is better recorded as a summary journal than routed through tenant payment integrations.

What changes

What changes when payments runs on NetSuite?

When payments runs on NetSuite through RIOO, operational work and accounting stop being two separate jobs. Transactions post to the general ledger as they happen, reports use the same records as daily work, and controls come from NetSuite roles and approvals. The changes below are the ones teams usually notice first.

FAQ

Payments FAQs

Still curious? Ask the team.

Which gateways does RIOO support?

RIOO's current integrations directory lists Cardknox, AsiaPay and Cybersource as connected payment gateways. Whichever gateway you use, payments are applied to the tenant ledger and posted to NetSuite in the same workflow. Payment methods and regional availability vary by gateway, so confirm coverage for each market you collect in.

Can tenants pay automatically each month?

Yes. Tenants can set up recurring payments in the portal so rent and other scheduled charges are collected automatically on the date you configure. Each automated payment is applied to the tenant ledger and posted to NetSuite like any other receipt, and failed attempts trigger a notification so the team can follow up.

How are partial payments applied?

Partial payments are applied by the allocation rules you configure, such as oldest charge first, rent before fees, or a custom order by charge type. Rules can differ by portfolio where local law or policy requires. The tenant ledger shows exactly which charges were paid and which remain open after each payment.

Can we use our existing gateway?

Possibly. If your current gateway is Cardknox, AsiaPay or Cybersource, it is already in RIOO's directory. For other gateways, RIOO can assess whether a connection is supported, planned or possible as a custom integration, considering payment methods, regions and settlement reporting. Raise it early in evaluation.

Who pays the card processing fees?

By default your organisation pays the gateway's processing fees under its merchant agreement, and RIOO records them as an expense. Some operators pass card fees to tenants as a convenience fee; whether that is allowed depends on card scheme rules and local law in each market, so check before enabling it.

Can tenants split one payment across several charges?

Yes. A single payment can cover rent, parking, utilities and other open charges, and RIOO applies it according to your allocation rules or the tenant's selection where permitted. Each charge shows as paid or partly paid on the tenant ledger, and the NetSuite payment record lists every invoice it applied to.

Make every payment post itself.
