Workflows · Lease To Ledger

A signed lease, all the way to the general ledger

Watch a lease become charges, invoices, payments and journal entries inside NetSuite. It's the workflow that best shows what "native" really means.

Why this workflow matters most

The lease sits at the center of property finance. It defines who pays what, when and for how long. In a connected-but-separate stack, the lease lives in the property system and its financial effects are sent to the ERP later, by sync, import or retyping. Each step is a chance for a wrong date, a missed concession or a duplicate charge. In RIOO, the lease workflow runs inside NetSuite, so its transactions are NetSuite transactions from the moment they're created.

What is the lease-to-ledger workflow?

The lease-to-ledger workflow is the chain of events from a signed lease to its effects on the general ledger: charges scheduled, deposits recorded, invoices issued, payments applied and revenue recognised. In RIOO, every step creates NetSuite records directly, so the lease and the accounting entries it produces never live in separate systems.

The workflow matters because almost every number finance reports about a property starts with a lease term. Rent, deposits, concessions, escalations and fees all originate in the agreement. If any of them are re-keyed between systems, the error shows up later as a receivables difference, a wrong deposit liability or revenue in the wrong period, and someone has to trace it back by hand.

How to test it in any demo

Ask the vendor to create a lease, generate an invoice, record a payment and show the resulting journal entry. Then ask them to open the invoice in NetSuite, the lease behind it and the customer it was billed to. If all three are NetSuite records and the lease workflow runs inside NetSuite, that's strong evidence of a native architecture. Note that an invoice imported from an external system also carries a NetSuite ID, so the ID alone proves nothing about where it was created.

How it works

How does a mid-term lease change flow through to billing?

A mid-term lease change flows through to billing from its effective date: RIOO records the amendment on the lease, replaces future scheduled charges, and calculates any proration for the partial period. Charges already invoiced stay unchanged, so the audit trail shows the original invoice, the amendment and any credit or extra charge it produced.

  1. 01

    Record the amendment

Enter the new rent, fee or term on the lease with its effective date and approval.

  2. 02

    Regenerate future charges

Scheduled charges after the effective date are replaced with the new amounts.

  3. 03

    Calculate proration

If the change starts mid-period, RIOO bills or credits the difference for the days affected.

  4. 04

    Notify the tenant

The tenant portal shows the new schedule and the next invoice.

  5. 05

    Review in NetSuite

Finance sees the amendment in system notes and the adjusted receivable on the tenant ledger.

Every charge traces back to a lease term, every payment to a charge, and every deposit to its liability account. That's what makes rent roll to GL reconciliation a check rather than a project.

Which journal entries does a lease create in NetSuite?

A lease in RIOO creates NetSuite entries only when money is billed, received or refunded; signing alone posts nothing. Deposits post to a liability account, rent invoices to receivables and rental income, payments to cash, and concessions and fees to their own accounts, each carrying the property, unit and lease on the transaction.

Account names follow your NetSuite chart of accounts; the table shows the usual pattern rather than fixed accounts.

Use cases

Which exceptions break lease-to-ledger in a two-system stack?

Five exceptions break lease-to-ledger most often when leases and accounting live in different systems. Each one is a timing or translation problem between databases, and each tends to surface at month-end as a reconciling item rather than at the moment it happens, when it would be cheapest to fix.

Watch-outsBack-dated amendmentsFixFailed or partial syncsFixTreating sync as…FixTesting too lateFix
01

Back-dated amendments

A rent change entered after invoices have synced leaves the ledger and lease disagreeing for past periods.

02

Failed or partial syncs

A batch that stops halfway posts some charges and not others.

03

Concessions handled as journals

Finance books a discount the property system never recorded.

04

Payments applied differently

Partial payments allocated one way in the property system and another in the ERP.

05

Deposits moved between tenants

Transfers recorded on one side only change the liability without a matching record.

How does lease-to-ledger differ for residential and commercial leases?

Lease-to-ledger differs for residential and commercial leases mainly in charge complexity and revenue timing. Residential leases usually bill fixed monthly rent and fees recognised as billed, while commercial leases add escalations, recoveries, rent-free periods and straight-line revenue, so more of the work happens after the first invoice.

Who is the RIOO lease-to-ledger workflow NOT for?

The RIOO lease-to-ledger workflow is not for organisations that keep their general ledger outside NetSuite. The workflow depends on leases, invoices and payments being NetSuite records, so it cannot post to another ERP. Teams that only need lease abstraction, without billing or accounting, may also find a lighter lease database is enough.

It is also not a substitute for accounting policy. RIOO applies the posting rules, items and accounts your finance team configures; decisions about concession treatment, revenue recognition and deposit handling under your standards remain with your controller and auditors.

What changes

What changes when lease to ledger runs on NetSuite?

When lease to ledger runs on NetSuite through RIOO, operational work and accounting stop being two separate jobs. Transactions post to the general ledger as they happen, reports use the same records as daily work, and controls come from NetSuite roles and approvals. The changes below are the ones teams usually notice first.

FAQ

Lease to ledger FAQs

Still curious? Ask the team.

Do lease changes update billing automatically?

Yes. Lease changes update billing automatically from their effective dates. When a renewal, escalation, amendment or early termination is recorded on the lease, RIOO replaces future scheduled charges, calculates any proration for a partial period and leaves invoices already issued unchanged, so the audit trail shows exactly what changed and when.

Is anything synchronized between systems?

No core lease or financial records are synchronised, because leases, tenants, invoices, payments and deposits all live in NetSuite. External services such as payment gateways, screening providers and bank feeds connect through integrations, but they send transactions into NetSuite records rather than maintaining a parallel copy of the lease or the tenant ledger.

Can we watch this live?

Yes. Lease to ledger is the workflow we recommend running first in a RIOO demo. We create a lease, generate its first invoice, record a payment and open the resulting entries in NetSuite, then change the rent mid-term so you can see future billing update. Bring one of your own leases to make it realistic.

Does it work for commercial leases?

Yes. Lease to ledger works for commercial leases, including base rent escalations, recoveries of operating costs, rent-free periods, options and straight-line revenue. Commercial terms are captured as structured data on the lease, so they drive invoices and adjustments in NetSuite the same way residential rent does, with more steps after the first invoice.

What happens to the ledger when a lease is terminated early?

When a lease is terminated early, RIOO records the termination date on the lease, cancels scheduled charges after that date and bills any termination fee or prorated rent agreed. Already-invoiced periods stay in the ledger, and the deposit moves into the move-out process, so the tenant's balance, deposit liability and revenue all close out correctly.
