Workflows · Move-In To Move-Out

The whole tenancy, start to finish

Readiness, move-in inspection, deposit, life in the home, renewal or departure, move-out inspection, itemized deductions and the final statement, all on one record with evidence at both ends.

Why treat the tenancy as one workflow

Move-in and move-out are usually handled as separate events by separate people. But they're two ends of the same story. A deduction at move-out is only defensible if the move-in condition was recorded. A refund is only right if the ledger is right. Treating the tenancy as one workflow means the evidence and the money line up.

Where deposit rules matter

Many jurisdictions set rules for deposit handling, deduction itemization and refund timing. RIOO supports configurable checklists, itemized statements and documented evidence. Your policies and local requirements govern the specifics.

What is the move-in to move-out workflow?

The move-in to move-out workflow is the full sequence of tasks that runs from an approved application to a closed tenancy: lease signing, deposit collection, move-in inspection, the occupied period, notice, move-out inspection, deposit disposition and turnover. In RIOO each stage is a status on the lease record in NetSuite, with tasks, documents and charges attached.

Treating it as one workflow means the evidence collected at move-in is ready when it is needed at move-out, often years later and handled by different staff.

How does RIOO handle the period between move-in and notice?

Between move-in and notice, RIOO keeps the lease, ledger, work orders and messages on one record, so anything that will matter at move-out is captured as it happens. Damage reported mid-tenancy, agreed alterations and repairs charged to the tenant are logged with dates and photos rather than remembered later.

This period is also when renewals happen. RIOO prompts renewal offers ahead of expiry, and an accepted renewal extends the same tenancy record instead of starting a new one, keeping the original inspection and deposit history intact.

How it works

How does a move-out run step by step?

A move-out in RIOO runs as a fixed sequence that starts when notice is recorded and ends when the deposit is settled and the unit is ready to relet. Each step creates a dated record, which is what protects the landlord and the tenant if deductions are disputed.

Which tasks happen at move-in?

Move-in tasks set the baseline for the whole tenancy, so they need to be complete and recorded before keys are handed over. RIOO generates the move-in task list from the lease and property type, assigns each task to an owner and blocks key release until the required items are done.

What deposit deadlines apply in different markets?

Deposit deadlines vary by market and sometimes by city, so the workflow needs to know which rules apply to each property. The table gives the general shape of the rules in markets RIOO serves; always confirm the current rule for your jurisdiction before relying on it.

United KingdomDeposits protected in an approved scheme; return within 10 days of agreement

CanadaRules set by each province, with deadlines after tenancy ends

Who is the RIOO move-in to move-out workflow NOT for?

This workflow is not designed for short-stay or holiday lets, where bookings last days and guests do not sign tenancy agreements or pay regulated deposits. It suits long-term residential, student and build-to-rent portfolios, and commercial tenancies, where inspections, deposits and notice periods follow lease terms and local law.

Move-in to move-out in practice

A resident gives notice after two years. The move-out inspection is compared, room by room, with the move-in photos. Two items exceed normal wear and are itemized with photos. The final statement goes out showing the deposit, the deductions and the refund. The resident accepts it in the portal, finance processes the refund, and the unit's status flips to available so leasing can relist it the same day.

What changes

What changes when move-in to move-out runs on NetSuite?

When move-in to move-out runs on NetSuite through RIOO, operational work and accounting stop being two separate jobs. Transactions post to the general ledger as they happen, reports use the same records as daily work, and controls come from NetSuite roles and approvals. The changes below are the ones teams usually notice first.

How do you measure turnover performance?

Measure turnover performance by how quickly and cleanly a unit moves from notice to a new lease. The most useful measures in RIOO are days vacant between tenancies, the share of deposits settled within the deadline and the share of deductions accepted without dispute, each reported by property and region.

FAQ

Move-in to move-out FAQs

Still curious? Ask the team.

Can checklists differ by property type?

Yes. Move-in and move-out checklists can be configured for each property type and unit configuration, so a furnished studio, a family house and a commercial suite each get the right rooms, fixtures and inventory items. Staff then follow the same checklist at both ends of the tenancy, which makes condition easy to compare.

Does the tenant see deductions before the refund?

Yes. The final statement itemises every deduction, such as cleaning, repairs or unpaid rent, with the amount and supporting photos before any refund is issued. Tenants can review and query the statement first, which reduces disputes and helps you meet deposit rules that require an itemised list of deductions.

How soon can the unit be relisted?

A unit can be relisted as soon as the move-out workflow closes and the final financials are reconciled, and many teams list it earlier once notice is recorded. Make-ready work orders raised from the move-out inspection show the expected ready date, so leasing can advertise the unit with a realistic availability date.

Is there an evidence trail for disputes?

Yes. Move-in and move-out inspection reports, dated photos, deduction calculations and tenant messages are kept together on the tenancy record. If a deduction is challenged through a deposit scheme or tribunal, staff can export the full evidence pack rather than searching inboxes, shared drives and paper files for it.

Can move-in and move-out inspections be done on a phone?

Yes. Staff can complete inspections on a phone or tablet in the unit, adding photos and notes room by room, and the report is saved to the tenancy record straight away. Using the same checklist at move-in and move-out makes condition easy to compare and gives clear evidence if deductions are questioned.

What happens if a tenant leaves without giving notice?

If a tenant abandons the unit, record the date it was discovered, follow your local rules for regaining possession and then run the normal move-out inspection and final statement. RIOO keeps the ledger open for unpaid rent and charges, so collections or legal follow-up can continue from the same record.

Start and finish every tenancy on the same, solid record.
