Property compliance software that turns deadlines into scheduled work

RIOO tracks the certificates, licences, inspections and statutory deadlines attached to every property and unit, with expiry reminders, documents as evidence, and work orders to get renewals done. Because it runs on NetSuite, compliance costs post to the property ledger and compliance status sits beside leases and maintenance.

What is property compliance software?

Property compliance software keeps a register of every regulatory and contractual obligation for a portfolio, such as gas safety certificates, electrical inspections, fire risk assessments, elevator inspections, HMO and rental licences, energy performance certificates, backflow tests and pool barrier certificates, and makes sure each is renewed before it lapses.

The hard part is scale. A portfolio of 50 buildings can carry hundreds of obligations with different cycles, contractors and rules. Spreadsheets and calendars fail quietly when someone leaves or a building is added. In RIOO, obligations are records linked to the property or unit, with owners, due dates and evidence.

Why does property compliance fail?

Property compliance usually fails through missed dates rather than unknown rules: certificates expire while contractors wait for access, acquisitions arrive without records, or a site manager leaves with the spreadsheet. A central register with owners, reminders and evidence prevents most of these gaps.

Compliance usually fails through missed dates rather than unknown rules. Certificates expire while a contractor is waiting for access, a new acquisition arrives without records, a site manager leaves with the spreadsheet or an inspection is done but the evidence never reaches the file. Linking each obligation to a property, a due date, an owner and a work order closes those gaps.

How it works

How does a compliance cycle run?

A compliance cycle runs in six steps: register each obligation with its cycle, assign an owner and contractor, send reminders before expiry, create the renewal work order, capture the new certificate and expiry date, then pay the contractor's bill and post it to the property ledger.

    Register obligations

Load each obligation type with its cycle and rules, per property, building or unit.

  2. 02

    Assign owners

Each obligation has a responsible person and, where relevant, a preferred contractor.

  3. 03

    Remind early

Tasks and reminders fire ahead of expiry, for example 60 and 30 days before.

  4. 04

    Create work

The renewal becomes a work order to the contractor, with access arrangements for occupied units.

  5. 05

    Capture evidence

The new certificate is uploaded, the expiry date updated and the next cycle scheduled.

  6. 06

    Pay and post

The contractor's bill links to the work order and posts to the property ledger.

How should compliance status be classified?

Classify compliance status in four groups: compliant, with a valid certificate on file; due soon, expiring within the renewal window; overdue, expired without a new certificate; and missing, with no record for a required item. Each status has a defined next action, shown in the table below.

How it works

How do you onboard an acquired property's compliance records?

Onboard an acquired property's compliance records by requesting every certificate, licence and survey during due diligence, loading each with issue and expiry dates, marking missing items and scheduling inspections, assigning owners, and reviewing the property's compliance view before its first month-end on RIOO.

How does compliance connect to maintenance?

Inspections often find defects. In RIOO, a failed or advisory item on an inspection creates a follow-up work order on the same property, so remedial work is tracked to completion and its cost posts to NetSuite. The compliance record shows both the certificate and the remedial history.

Which obligations should a compliance register hold?

A compliance register should hold fire safety tests and assessments, gas safety and boiler servicing, electrical inspections, water hygiene and backflow testing, lift and accessibility inspections, and rental licences and registrations, each with its cycle, owner, contractor and evidence for every property it applies to.

Why does NetSuite-native matter for compliance?

Compliance is part operations, part risk, part cost. With obligations, work orders, contractors and bills on NetSuite records, you can prove a certificate was renewed, show who did the work, and see what compliance costs by property, without stitching together three systems. Roles and system notes give auditors and insurers a clear trail.

Which roles own compliance?

Compliance ownership is shared: a compliance or risk lead owns the register, templates and reporting; property managers arrange access and confirm certificates for their properties; and maintenance and facilities teams book contractors and complete the work orders that produce new certificates.

How do requirements differ by market?

Compliance requirements differ by market: US rules vary by state and city, the UK requires gas safety records, EICRs, EPC minimums and licensing, Australia sets smoke alarm and pool rules by state, and Singapore and the UAE focus on fire, lift and community obligations.

Who is RIOO compliance tracking NOT for?

RIOO compliance tracking is for owners and operators tracking obligations across a portfolio. It is not a replacement for a professional fire engineer, surveyor or legal adviser, and it does not certify compliance itself; certificates come from qualified inspectors, and RIOO records them as evidence.

How do compliance requirements differ by market?

Compliance requirements differ because states, cities and national governments set them. The US relies on state and city rules such as detectors and rental registration, the UK on gas safety, EICR, EPC and licensing, and Australia, the UAE and Singapore on local fire, lift and strata obligations.

FAQ

Compliance & certificate tracking FAQs

Still curious? Ask the team.

What is the best way to track landlord compliance certificates?

Keep a register of every certificate against the property, building or unit, with expiry dates, a responsible owner, reminders and the certificate itself attached as evidence. RIOO does this on NetSuite and turns each renewal into a work order for the contractor, so the bill posts to the property ledger.

Can RIOO send reminders before certificates expire?

Yes. Reminders and tasks can be set at intervals before expiry, such as 60 and 30 days, so inspections are booked while there is time to arrange access. If an item becomes overdue, it escalates to a manager and shows as overdue on the compliance dashboard until a new certificate is uploaded.

Does RIOO know the legal requirements for my area?

RIOO provides the structure to track any obligation, with cycles, owners and evidence, and you configure which obligations apply to each property based on your advisers' guidance. It does not provide legal advice or monitor law changes, so review your register when requirements change in a market.

Can contractors upload certificates?

Contractors can provide certificates with their completed work order, and staff attach them to the relevant obligation, updating the expiry date and scheduling the next cycle. Confirm whether vendors can upload documents directly in your setup, since that removes a manual step for busy property teams.

Can we report compliance status to owners or insurers?

Yes. Saved searches show compliant, due-soon, overdue and missing items by property and obligation type, with certificates attached as evidence. Reports can be shared with owners, insurers or lenders, or scheduled to send regularly, so status is reported from live records rather than a spreadsheet compiled for each request.

Can compliance items be set per market?

Yes. Obligation templates can be defined per country, state or city, for example annual gas safety in the UK or smoke detector checks in a US state, and apply automatically to properties in that market. Local additions, such as a city licence, are added to individual properties.

Can we attach certificates to properties?

Yes. Each certificate is uploaded against the property and the specific obligation, with issue and expiry dates. The compliance view then shows the current status, and older certificates stay on file as evidence for audits, insurers and any possession or enforcement proceedings.

Does RIOO send reminders?

Yes. Reminders go to the responsible owner of each obligation before it falls due, at the intervals you configure, such as 60 and 30 days before expiry, and overdue items escalate to a manager. Reminders also appear as tasks in RIOO, so nothing depends on one person's inbox.

Can insurers or lenders get compliance reports?

Yes. Compliance status by property, with certificates, inspection dates and outstanding items, can be exported for insurers, lenders and auditors. Because the report comes from the live register, it reflects the latest uploaded evidence and can be produced whenever a renewal, refinancing or audit requires it.

Can one obligation cover several buildings?

Yes. Site-wide items, such as a fire risk assessment for a campus or a shared lift inspection, can be linked to every building they cover, so each building shows the correct status. When the certificate is renewed once, every linked building updates together.

Bring your compliance spreadsheet. We'll show you which dates it's hiding.
