Know what to fix first, and what's been done before

Prioritized work orders, balanced schedules, preventive plans, vendor coordination, field updates and complete asset history, so your team spends less time on paperwork and more time on repairs.

What slows maintenance teams down

Requests that arrive by phone, email and sticky note. Work orders without enough detail. No history on the equipment you're about to open. Preventive tasks that live in someone's head. Constant calls asking "is it done yet?" RIOO gives maintenance one queue, one calendar and one history.

What is preventive maintenance in property management?

Preventive maintenance in property management is scheduled servicing and inspection of building systems, such as boilers, lifts, roofs, fire equipment and HVAC, done before they fail. In RIOO, preventive tasks are recurring work orders linked to assets and properties, so they appear in technicians' schedules alongside reactive jobs and their costs post to the right property.

The case for preventive work is economic and legal. A serviced boiler fails less often in winter, when emergency call-outs cost most and residents suffer most. Many inspections are also mandatory, from fire alarm testing to gas safety and lift certification, and missing one exposes the owner to fines, insurance problems and liability. A schedule held in someone's head or spreadsheet cannot prove compliance.

How RIOO helps

One prioritized queue. Every request, from a portal, the office or an inspection, becomes a work order with priority and category.

Balanced schedules. Work is allocated by skill, availability and workload, and planned and reactive jobs share one calendar.

Preventive plans that run. Recurring servicing and inspections with reminders before they're due.

History on the asset. Service records, warranties and documents attached to every tracked asset.

Vendors coordinated. Assign, track and compare vendors in one place.

Fewer "is it done?" calls. Residents and managers see status updates as you make them.

How should work orders be prioritised?

Work orders should be prioritised by risk to people, risk to the building and impact on residents, in that order. A typical RIOO setup uses four or five priority levels, each with a target for how quickly work starts, so technicians and vendors know what to attend first and managers can report performance against targets.

Set your own targets by property type, lease commitments and local law.

What can RIOO do for maintenance & facility teams?

RIOO handles maintenance & facility teams with capabilities built on NetSuite records rather than a separate database. Each capability below works with the same properties, leases, tenants and ledger, so operations and finance see one version of the data. Capabilities are configured to your policies during implementation, without custom code for routine changes.

Use cases

Repair or replace? Signals from asset history

Asset history in RIOO turns repair-versus-replace decisions into evidence rather than opinion. These signals help maintenance leaders build a case for capital spend.

How it works

How do maintenance costs reach the general ledger?

Maintenance costs reach the general ledger through the work order. Technician time and materials, or a vendor bill linked to the job, post to the repairs or contracts expense account for that property and unit in NetSuite. Capital work posts to fixed asset or project accounts instead, so repair spend and capital investment stay separate.

Statutory inspections maintenance teams track by market

United StatesUKAESGAU5 markets · one NetSuitelocal rules, shared ledger

United States

Inspection duties come from state and local codes and insurers: smoke and carbon monoxide detectors, fire sprinklers and alarms, elevators, backflow devices and, in some cities, façade inspections for taller buildings. Requirements vary by jurisdiction, so schedules are set per property.

United Kingdom

Landlords must arrange an annual gas safety check and electrical installation condition reports at least every five years for private rentals, plus fire risk assessments for common parts. Social landlords face strict timescales for investigating damp and mould under Awaab's Law.

Australia

Smoke alarm testing and replacement rules are set by each state, with some requiring interconnected alarms. Pool safety, gas and electrical safety checks also apply in several states, and essential safety measures in commercial buildings need regular maintenance records.

Singapore and the UAE

In Singapore, lifts need regular maintenance and a permit to operate, and fire safety systems in many buildings require certification. In Dubai, building fire and life safety systems need annual maintenance contracts and certification under Civil Defence rules.

A day in maintenance, before and after

Before. The supervisor starts with voicemails, emails and a whiteboard. Two requests turn out to be the same leak reported twice. A technician arrives at a unit without knowing the boiler was serviced last month. A preventive inspection is missed because the spreadsheet wasn't opened. The afternoon brings calls from residents asking for updates, and a vendor invoice arrives that nobody can tie to a job.

After. Requests arrive in one prioritized queue, with duplicates easy to spot. Each technician's day is planned by skill and location, with preventive tasks alongside reactive ones. They open the asset's history on their phone before starting. Residents see status updates automatically. When the vendor's invoice arrives, it's matched to the work order and purchase order, and the cost lands on the right property.

Who is RIOO for maintenance teams NOT for?

RIOO for maintenance teams is not an industrial computerised maintenance management system for manufacturing plants, utilities or fleets with complex spare-parts inventories and condition-based monitoring from sensors. It is built for residential and commercial property maintenance, where work orders link to units, residents, leases and owners.

It is also not a building management system. Controlling HVAC set points, reading sensors in real time or managing access control hardware remain the job of dedicated building systems; RIOO records the work, assets, costs and compliance evidence that result from them.

FAQ

Maintenance & facility teams FAQs

Still curious? Ask the team.

Can technicians update jobs from their phones?

Yes. Mobile access covers schedules, job updates, photos, alerts and approvals, so technicians record work as they finish it rather than at the end of the day. Status changes are visible to supervisors, property managers and residents straight away, which cuts the number of calls asking whether a job has been done.

How is work allocated?

Work is allocated by workload, availability and skill, so a plumbing job goes to a qualified technician with capacity, and planned and reactive jobs share one calendar. Supervisors can override assignments for urgent work, and jobs beyond in-house skills or capacity can be assigned to approved vendors with a purchase order.

Can we see an asset's history before a repair?

Yes. Service history, warranties and documents are on the asset record, so a technician can see what was done last time, by whom and at what cost before opening the equipment. That avoids paying for work still under warranty and helps supervisors spot assets that are failing repeatedly and need replacement.

Do vendors need a login?

Vendors can be assigned work orders and purchase orders, with job details shared by email or message, and their invoices matched to the job in RIOO. Whether vendors update jobs directly through their own login depends on your setup, so confirm the access model during implementation.

Can preventive tasks be scheduled around resident access?

Yes. Preventive work orders can carry access notes and appointment windows, and residents can be notified in advance through the portal or messaging integrations. Where access is refused or missed, the attempt is recorded on the work order, which supports compliance evidence for statutory checks such as gas safety inspections.

How are emergency call-outs out of hours handled?

Emergency requests raised out of hours are flagged by priority and routed to the on-call technician or contractor according to your rota. The work order records when the issue was reported, when someone attended and what was done, so managers can review speed of response and costs the next business day.

Give your team one queue, one calendar and one history.
