Commercial lease administration software, connected to the ledger

RIOO turns commercial leases into structured records on NetSuite: abstracted terms, critical dates, options, escalations, recoveries, guarantees and documents. Because the same lease drives billing, CAM and lease accounting, nothing abstracted in lease administration has to be re-keyed into finance.

What is commercial lease administration?

Commercial lease administration is the ongoing management of a lease's obligations after signing: abstracting key terms, tracking critical dates such as renewals, breaks and rent reviews, billing rent and recoveries correctly, managing amendments and assignments, and keeping documents and correspondence in order. It sits between legal, asset management, property management and accounting.

When lease administration lives in spreadsheets or a standalone abstract database, finance re-enters the same terms into billing and lease accounting. Errors in that hand-off cause under-billed escalations, missed option deadlines and disputed recoveries. In RIOO, the abstract is the lease record.

Which critical dates matter most?

The critical dates that matter most are lease commencement and expiry, renewal and break option notice windows, rent review and escalation dates, recovery reconciliation deadlines, and security or guarantee expiries. Missing a notice window can lock in a tenant's option or lose a rent increase, so each date needs an owner.

Why is commercial lease administration hard?

Commercial leases are long, negotiated documents with options, escalations, recoveries, co-tenancy and exclusive-use clauses, and side letters that change them later. Missing a critical date, such as a renewal option or rent review, can cost far more than a year of software. Lease administration exists to turn those documents into dates, rules and charges that the business acts on.

What is a lease abstract?

A lease abstract is a structured summary of a lease's key terms: parties, premises, term, rent and escalations, recoveries, options, security, critical dates and notable clauses. A good abstract lets anyone answer common questions without reading the lease, and it drives billing and reminders when stored as data rather than a PDF.

What is a critical date?

A critical date is any lease deadline that, if missed, changes rights or money: option exercise windows, rent review notices, break dates, expiry, insurance certificate renewals and letter of credit expiries. Each should have an owner, a reminder schedule and a record of the action taken.

How it works

How does abstraction to billing work?

Abstraction to billing in RIOO starts when key terms are entered or imported from your abstract template, then reviewed against the signed lease. The approved abstract generates the rent schedule, recovery estimates and critical-date reminders, and billing creates NetSuite invoices from those terms each period.

How it works

How does a lease move from signature to billing in RIOO?

A lease moves from signature to billing in RIOO in a few steps: the signed lease and side letters are attached, key terms are abstracted and checked, rent and recovery schedules are created, critical dates are set, and the first NetSuite invoices are generated on the commencement date.

How do lease administrators, property managers and finance share the work?

Lease administrators, property managers and finance share one lease record in RIOO. Lease administrators abstract terms and own critical dates, property managers handle the tenant relationship and premises, and finance uses the same record for billing, recoveries and straight-line accounting in NetSuite.

Who uses it?

Lease administration in RIOO is used by asset managers tracking options and expiries, lease administrators maintaining abstracts, property managers serving tenants, and finance teams billing rent and recoveries. Each works from the same NetSuite lease record, so changes reach billing and reporting without re-entry.

Who is RIOO lease administration NOT for?

RIOO lease administration is not for corporate occupiers managing leases where they are the tenant, and it is not a legal document drafting system for negotiating leases. It is designed for landlords administering their own leases and billing tenants from NetSuite.

FAQ

Commercial lease administration FAQs

Still curious? Ask the team.

What is commercial lease administration software?

Commercial lease administration software abstracts and manages a commercial lease's obligations after signing: critical dates, rent schedules and reviews, renewal and break options, recoveries, security deposits and guarantees, and the lease documents themselves. RIOO adds a direct link from those lease terms to billing and accounting on NetSuite.

Can RIOO import existing lease abstracts?

Yes. Existing lease abstracts can be imported into RIOO from spreadsheets or exports from your current system during implementation, using a mapped template for parties, premises, dates, rent steps and recoveries. Each abstract is then verified against the signed lease before billing goes live.

Does RIOO send reminders for option deadlines?

Yes. Critical dates such as renewal notices, break options, rent reviews and lease expiries can trigger reminders and tasks for the people responsible, set a chosen number of days before each notice window opens and closes. Missed options are expensive, so each reminder is tracked until someone records the decision.

Can RIOO handle multi-suite tenants?

Yes. A tenant in RIOO can lease several suites or units under one lease or under separate leases. Area, recovery shares and charges are tracked per premises, so a tenant expanding onto a second floor gets its own rent schedule and CAM share while invoices and statements can still be consolidated.

Does lease administration in RIOO cover occupier (lessee) leases?

No. RIOO is designed for landlords administering leases with their tenants, where the property is income-producing. For leases where your company is the tenant, such as offices you occupy, consider lessee lease accounting tools for NetSuite that build right-of-use schedules.

Can leases be abstracted from PDFs automatically?

Abstracts are usually entered by lease administrators or an abstraction partner and then checked by a second person. Automated extraction can speed up the first draft, but every critical date and recovery term should still be reviewed against the signed lease before it drives billing.

Can we track tenant sales for percentage rent?

Yes. Retail tenants report sales by period, and RIOO compares them with the natural or fixed breakpoint in the lease to calculate overage rent, which is invoiced and posted in NetSuite. Late sales reports can trigger reminders to the tenant contact.

Do amendments keep history?

Yes. Each amendment or side letter is attached to the lease with its effective date, and the abstract and billing schedules change from that date forward. Earlier terms remain visible, so an auditor or asset manager can see what applied in any past period and why it changed.

Who receives critical date reminders?

Each critical date has a named owner, such as the lease administrator or asset manager, who receives reminders ahead of the deadline at intervals you choose. Overdue items appear on a shared view, so a missed reminder does not mean a missed option or rent review.

Can we report on all upcoming expiries?

Yes. A lease expiry report lists every lease ending in a chosen window with rent, area and option status, by property or fund. Asset managers use it to plan renewals and leasing, and lenders often ask for it during financing.

Can side letters be linked to a lease?

Yes. Side letters are attached to the lease as amendments with their own effective dates and summaries, so anyone reading the abstract sees the current position, including concessions or rights agreed outside the main lease, without searching email or shared drives for the original letter.

Bring your most complicated lease. We'll abstract it live.
