Rioo Professional · Commercial

Commercial Property Management Software

Complex leases. Shared costs. One set of books.

RIOO Professional is built for commercial portfolios (offices, industrial buildings, warehouses and retail), where leases carry escalations and options, costs are shared and recovered, and every property may sit in its own entity.

Commercial complexity lives in the details

A commercial lease is a long financial contract: base rent, escalations, rent-free periods, options, break clauses and a share of operating costs. Multiply that by dozens of tenants and several entities, and spreadsheets become the real system. RIOO Professional keeps those terms structured, recoveries rule-based and the books native to NetSuite, so finance and asset management work from the same facts.

Capabilities

Why are commercial leases harder to manage than residential leases?

Commercial leases are harder because each one is often negotiated individually, with its own rent steps, recovery rules, options and obligations. A small error in a clause, such as a missed escalation or a wrong CAM share, can cost thousands over the lease term and is often discovered only at reconciliation or audit.

Why it mattersBespoke termsCritical datesRecoveriesSlower, riskiernumbers

Bespoke terms

Every lease can differ in escalations and recoveries.

Critical dates

Options, breaks and reviews have strict deadlines.

Recoveries

CAM, service charges, taxes and insurance shares.

Revenue rules

Straight-line rent and lease incentives.

What is commercial property management software?

Commercial property management software manages office, retail, industrial and mixed-use leases, where terms are longer and more complex than in residential: escalations, options, recoveries, percentage rent and critical dates. RIOO handles commercial leases on NetSuite, so billing, recoveries and revenue recognition run from the lease record directly into the general ledger.

How it works

How does a commercial lease run in RIOO?

A commercial lease in RIOO runs from abstraction to renewal on one record, with each clause that affects money or dates captured as data. This lets RIOO bill correctly, alert on critical dates and support reconciliations without re-reading the lease document each time.

In detail

How does RIOO support CAM and service charge recoveries?

RIOO supports recoveries by coding recoverable costs when bills are entered, billing tenants estimated monthly charges and reconciling estimates against actual costs at year end. Each tenant's share follows the rules in their lease, so the reconciliation statement can be explained line by line if a tenant challenges it.

Commercial terms RIOO helps you keep straight

Commercial property has its own vocabulary, and each term is a place where money can be missed:

When these terms live as structured data on the lease, they drive billing, reporting and workflows. When they live only in a PDF, they depend on someone remembering them.

BBase rentEEscalationsRRecoveriesPPro-rata share

Base rent

the fixed rent, often with scheduled escalations.

Escalations

fixed-percentage, stepped or index-linked increases on set dates.

Rent-free and fit-out periods

concessions that affect billing and, often, revenue recognition.

Options and break clauses

dates that change your income exposure and need to be tracked years ahead.

Recoveries

CAM, taxes, insurance and utilities billed back under lease terms.

Pro-rata share

the tenant's portion of recoverable costs, usually based on area.

Gross-up

adjusting variable costs to a stabilized occupancy level before allocation.

Caps

limits on how much controllable costs can rise year to year.

True-up

the year-end difference between estimates billed and actual recoverable costs.

Built for the finance side of commercial

Commercial portfolios are often finance-led: entity structures, lender reporting, investor distributions and audit. RIOO Professional keeps operations on the same NetSuite record finance uses, so lease events and operating costs reach the ledger with property context, ready for entity reporting and consolidation.

Which commercial lease terms does RIOO track?

RIOO tracks the commercial lease terms that drive billing, revenue and deadlines, so finance and asset managers work from the same abstract. Terms not listed here can be recorded as notes or custom fields, but these are the ones most portfolios need from day one.

How does NetSuite help commercial finance teams?

NetSuite helps commercial finance teams because rent, recoveries, straight-line revenue and property expenses all post to one general ledger. In RIOO there is no separate lease system to reconcile, so the controller can close the month, run net operating income by asset and answer audit questions from the same records.

Who is RIOO commercial NOT for?

RIOO commercial is not built for brokers marketing space for third-party landlords, and it is not a construction project management system for developments. It suits owners and operators who lease and manage office, retail, industrial or mixed-use space and want lease administration and accounting in NetSuite.

FAQ

RIOO Professional · Commercial FAQs

Still curious? Ask the team.

Can RIOO handle escalations and options?

Yes. Fixed, percentage and index-linked escalations, early termination terms, renewal options and the workflows around them are captured in the lease. RIOO bills each step on its effective date, alerts the team before option deadlines and keeps the straight-line revenue schedule in NetSuite updated when terms change.

Does RIOO handle CAM?

Yes. RIOO allocates shared costs across tenants and supports recoveries, from estimated monthly charges to year-end reconciliation against actual costs. Recoverable costs are coded when bills are entered, which makes reconciliation faster and easier to explain.

Can each property sit in its own entity?

Yes. Each property can sit in its own legal entity using NetSuite multi-entity capabilities through OneWorld, with separate books, bank accounts and tax settings. Transactions post to the right entity automatically, and the group can still report on the whole commercial portfolio or on each entity for lenders and investors.

Can commercial and residential share one environment?

Yes. Commercial and residential properties can share one RIOO environment on NetSuite, each with its own lease types, charges and workflows. Mixed-use buildings can hold both, and reports can show results for the whole portfolio or each segment separately.

Can RIOO alert us before a break option or rent review?

Yes. Critical dates such as break options, rent reviews, renewal notices and expiries are recorded on the lease, and RIOO alerts the responsible people a set number of days before each one. Early alerts give asset managers time to negotiate or prepare, rather than discovering a deadline has passed.

Can tenant sales be collected for percentage rent?

Retail leases with percentage rent need tenant sales figures each period. RIOO can record reported sales against the lease and calculate rent above the breakpoint, posting it to the tenant ledger and revenue. Confirm the exact setup for your lease structures during the evaluation.

Can lease abstraction be done during implementation?

Yes. Existing commercial leases are abstracted during implementation, capturing rent steps, recoveries, options and critical dates into RIOO, either by your team or with implementation support. Abstracts are checked against the signed leases and current billing before go-live, so the first invoices on RIOO match what tenants expect.

Put every commercial term on the record, and every cost in its place.
