SuiteAnalytics real estate reporting on live property data

SuiteAnalytics real estate reporting means building rent rolls, occupancy, aged receivables and property P&L directly from NetSuite records. Because RIOO stores leases, units, charges and work orders as NetSuite records, saved searches, SuiteAnalytics workbooks and dashboards report on live property data without exports.

What is SuiteAnalytics, and why does it matter for property?

SuiteAnalytics is NetSuite's reporting layer: saved searches, workbooks, KPIs, dashboard portlets and financial reports. It matters for property because it reads whatever records exist in the account, so with RIOO, leases, units and work orders are reportable alongside the general ledger.

That is the point for property companies. If your leases and units live in a separate PMS, SuiteAnalytics can only see the summarised journals that the connector sends. If they live in NetSuite, as they do with RIOO, every report can join a unit to its lease, its tenant, its open invoices, its work orders and the GL lines they created. One question, one source, no VLOOKUP.

How it works

How do you build a property report in NetSuite?

You build a property report in NetSuite by picking the record that answers the question, such as lease or invoice, adding criteria, choosing result columns, grouping or summarising, and sharing it by role or dashboard. Saved searches suit lists; workbooks suit pivots and charts.

1Capture2Validate3Approve4Post5Report
  1. 01

    Pick the record

Start a saved search or workbook on the record that answers the question: lease, unit, invoice, work order or transaction line.

  2. 02

    Join related records

Add the unit's property and building, the lease's tenant, or the invoice's lease, using the links RIOO maintains.

  3. 03

    Filter and group

Filter by subsidiary, property, date or status, and group by property or category.

  4. 04

    Add formulas and highlights

Calculate days overdue, annualised rent or percent occupied; highlight exceptions.

  5. 05

    Share by role

Publish to a dashboard portlet, schedule an email, or restrict by NetSuite role so each person sees only their properties.

Why native matters for reporting

Reporting is only as good as the joins underneath it. Because RIOO's property, unit, lease and work-order records are native NetSuite records with relationships to customers, vendors, items and transactions, SuiteAnalytics can traverse them like any other NetSuite data. Role restrictions apply automatically, so a regional manager's dashboard shows only their communities. RIOO dashboards add ready-made views on top; nothing stops your administrator building more.

Who is native reporting NOT enough for?

Native reporting is not enough for teams with large data science functions, very high data volumes or a need to blend NetSuite with other data sources. They may add a data warehouse or BI tool, connecting through NetSuite's standard connectors, while operational reporting stays in NetSuite.

In detail

Which property reports can you build?

The property reports you can build include rent rolls, occupancy and vacancy, lease expiries, aged receivables, delinquency, rent collected, deposits held, work order status and cost, budget versus actual and property NOI. Each draws on RIOO records and NetSuite transactions in the same account.

Tenant ledger · Unit 12ALinden RowRefDescriptionAmountL-01Rent roll$1,400.00L-02Occupancy and vacancy$140.00L-03Lease expiry schedule$1,400.00L-04Property P&L and NOI$140.00L-05Budget vs actual$30.00Payment posted

Rent roll

Units, tenants, lease dates, current rent, deposits and next escalation, filtered by property, building or subsidiary. Example: a lender asks for a rent roll for one entity as of quarter-end, and the saved search runs with that date.

Aged receivables by property

Open tenant balances in 30/60/90-day buckets with property and unit context, so delinquency reviews happen by asset.

Occupancy and vacancy

Occupied, vacant, notice and turnover units by date, with trend charts in a workbook.

Lease expiry schedule

Leases ending in the next 3, 6 and 12 months, with renewal status. Example: a commercial asset manager sees 18% of a building's area expiring next year and starts renewal talks early.

Property P&L and NOI

Income and operating expense by property using NetSuite segments, with drill-down to invoices and bills.

Maintenance cost analysis

Work-order cost by property, category, vendor and asset, showing where repairs concentrate.

Budget vs actual

Variance by property and account using NetSuite budgets.

Collections KPIs

Collected vs billed in the month, autopay adoption and late-fee counts.

Scheduled delivery

Saved searches emailed on a schedule to owners, managers or lenders.

What does a worked example look like?

A worked example: a controller wants aged receivables for one community at month-end. A saved search on open invoices, filtered to that property and grouped by tenant and age bucket, returns the totals below, each drilling down to the original charge:

Clicking Tenant C's 31–60 figure opens the invoice; the invoice links to the lease and the receipt history. The same search, grouped by property instead of unit, becomes the portfolio delinquency view for the CFO.

How it works

How do you build a lease expiry report?

You build a lease expiry report by creating a saved search on the lease record, filtering to active leases ending in the next 12 months, adding columns for property, unit, tenant, end date, rent and renewal status, sorting by end date, and sharing it to the leasing dashboard.

  • Name searches with a consistent prefix and owner.
  • Restrict sensitive searches by role.
  • Review scheduled emails quarterly and remove unused ones.
  • Document the definition of each KPI.
  • Use the same segments for property across reports.

How do segments make property reporting work?

NetSuite segments such as subsidiary, class, department, location and custom segments tag every transaction. When each property, region or fund is a segment value, any financial report can be filtered or columned by property without building a separate property ledger. Choosing segments carefully during setup is the single biggest decision for reporting quality.

What does an owner reporting pack contain?

An owner or investor pack typically includes an income statement by property, budget versus actual with variance notes, a rent roll, aged receivables, occupancy and leasing activity, capital spend and a cash summary. In RIOO, each element is a NetSuite report or saved search, so the pack can be refreshed at month-end in minutes rather than assembled by hand.

FAQ

SuiteAnalytics & saved searches FAQs

Still curious? Ask the team.

Can I use SuiteAnalytics workbooks with RIOO data?

Yes. RIOO records are NetSuite records, so SuiteAnalytics workbooks, saved searches, KPIs and dashboard portlets can report on leases, units, charges, receipts and work orders alongside standard financial data. A workbook can pivot rent by property and month, or join work orders to vendor bills.

Does RIOO include standard property reports?

Yes. RIOO provides dashboards and reports for occupancy, rental income, receivables and operations such as open work orders, so teams start with core property reporting on day one. Your team can extend them with saved searches and workbooks on the same records.

Can owners or lenders receive reports automatically?

Yes. NetSuite saved searches and reports can be scheduled to email recipients on a set cadence, such as a monthly rent roll for a lender. For external owners, confirm which format and access model you need, such as emailed PDFs or portal access, during implementation.

Will reports show only the properties a user manages?

Yes, when you configure NetSuite roles and restrictions by subsidiary, location or property segment. The same saved search or dashboard then returns different rows for different users, so a property manager sees only their buildings while the controller sees the whole portfolio, with no duplicate reports to maintain.

Can I report budget versus actual by property?

Yes. Budget versus actual by property uses NetSuite budgets entered by property segment and account, compared with posted actuals from RIOO transactions. Variances can be shown by month or year to date. More advanced planning may use NetSuite Planning and Budgeting.

Can property and corporate reports use the same data?

Yes. Property and corporate reports both read the same NetSuite transactions, because RIOO rent, receipts and vendor bills post directly to the general ledger. Property NOI and company results therefore always agree, and there is no reconciliation between a property system and the finance system.

Can I report by fund or owner?

Yes. Funds and owners can be represented in NetSuite as subsidiaries, classes or custom segments, and RIOO transactions carry those values. Saved searches and financial reports can then be filtered or grouped by fund or owner, producing income statements, rent rolls and receivables for each one.

Do I need SuiteAnalytics Connect?

Only if you want to query NetSuite from external BI tools such as Power BI or Tableau. Saved searches, financial reports, workbooks and dashboards are standard NetSuite reporting features and cover most property reporting needs inside the account without an external connection.

Can reports be scheduled to owners automatically?

Scheduled reports and saved searches can be emailed automatically to internal users on a set cadence. Owner statements are shared with external owners through the owner portal rather than raw NetSuite reports, which keeps access controlled. Confirm the owner reporting you need during implementation.

Are reports real time?

Yes. Saved searches, reports and dashboards read live NetSuite data at the moment they run. Because RIOO transactions post to NetSuite as they happen, a receivables report run at noon includes rent paid that morning, with no overnight sync or data warehouse refresh to wait for.
