Build-to-rent software for operators who answer to investors

Build-to-rent (BTR) operators need resident-grade operations and institutional-grade finance in one place. RIOO runs leasing, amenities, resident services, maintenance and property accounting on NetSuite, so on-site teams deliver the experience and investors receive reporting from the same records.

What makes build-to-rent different?

Build-to-rent is different because schemes are designed, financed and operated for long-term rental by one owner, often institutional, rather than sold unit by unit. That means volume lease-up, amenities, resident experience and investor reporting matter from day one, and the platform must consolidate schemes, SPVs and funds.

Build-to-rent schemes are designed, financed and operated for long-term rental by a single owner, often institutional. In the UK and Australia BTR is a growing sector; in the US the equivalent is purpose-built multifamily and single-family rental communities. Three things set BTR apart from traditional lettings: a lease-up phase where hundreds of homes launch at once, an amenity-led resident experience with on-site teams, and investor reporting with fund and entity structures.

A BTR platform therefore has to handle volume leasing, amenity bookings, resident apps and community events, and finance that consolidates schemes, SPVs and funds.

What do BTR residents expect from the portal?

BTR residents expect the same convenience as other on-demand services: paying rent and amenity fees online, booking amenities, reporting repairs with photos, receiving parcel and building notices and renewing without paperwork. A good portal experience supports the long stays that BTR business plans rely on.

What is build-to-rent?

Build-to-rent, or BTR, is purpose-built residential property designed and owned for long-term renting rather than sale. Schemes range from single-family rental communities to multifamily towers with shared amenities, usually owned by institutional investors and run by a professional operator under one brand.

What are the phases of a BTR scheme?

A BTR scheme moves through four phases: pre-launch marketing and waitlists, lease-up to fill the building, stabilisation at target occupancy, and steady-state operation. Each phase needs different tools, from lead capture and pre-leasing to renewals, maintenance and NOI reporting, and RIOO keeps the same records throughout.

How do you manage move-ins during lease-up?

Lease-up can mean dozens of move-ins a week. Schedule move-in slots by lift and loading bay, collect deposits and first rent before key release, complete check-in inspections on mobile and invite every resident to the portal on day one. Track move-ins against the lease-up plan so marketing spend and concessions can be adjusted weekly.

How do BTR operators use resident experience data?

BTR operators use resident experience data to link service quality with retention. In RIOO, maintenance requests, repair turnaround, portal use and renewal outcomes all sit with the resident's lease, so operators can see which buildings, teams and services drive renewals and where poor service is costing income.

How should BTR operators price during lease-up?

Lease-up pricing balances speed against rent levels assumed in the investment case. Most operators set launch rents by unit type, review weekly against enquiries, tours and applications, and use time-limited concessions rather than permanent rent cuts. RIOO shows leased percentage, net effective rent and concessions per building, so pricing decisions are made on current data.

How it works

What does a lease-up look like?

A lease-up on RIOO follows six steps: load the scheme from the development schedule, price and publish homes, convert applicants to digital leases, schedule move-ins, track stabilisation daily, and hand over to operations. Because records carry straight into the operating phase, nothing is migrated once the building is full.

Use cases

Which amenities and charges are common in BTR?

Common BTR charges beyond rent include amenity fees, parking and storage, pet rent and deposits, utilities packages, concierge services and furnished options. In RIOO each is a priced charge on the lease with its own income account, so ancillary income is reported separately from rent by scheme.

Why does NetSuite-native matter for BTR?

BTR is financed on the promise of predictable income. When resident operations and investor accounting share one ledger, NOI is visible daily, every concession is traceable to a lease, and SPV and fund reporting draws from operating data without a reconciliation layer. RIOO reports 650+ communities and 1700+ amenities managed on riooapp.com.

How does BTR differ by market?

BTR differs by market mainly in tenancy law and tax. The UK requires assured periodic tenancies, deposit protection and Right to Rent checks; Australia applies state tenancy rules and bond lodgement; the US relies on state rules for purpose-built multifamily and single-family rental communities. RIOO configures each market's workflows.

Who is RIOO NOT for in build-to-rent?

RIOO is not for build-to-rent organisations that do not run NetSuite. It is also not a development appraisal tool for planning or underwriting schemes, and it does not replace construction project management systems used before handover; RIOO takes over once homes are ready to lease.

How does BTR differ from traditional multifamily?

Build-to-rent schemes are usually owned by one institutional investor, run under a single brand, include more shared amenities and aim for longer resident stays than traditional multifamily. That puts more weight on resident experience, amenity income and investor reporting, and less on short-term turnover.

Which metrics do BTR investors ask for?

BTR investors typically ask for leased and occupied percentage, net effective rent, lease-up velocity, renewal rate and retention, arrears and NOI by scheme. RIOO produces each from lease, charge and ledger records in NetSuite, so investor packs tie back to transactions rather than to separate trackers.

FAQ

Build-to-rent FAQs

Still curious? Ask the team.

What is build-to-rent software?

Build-to-rent software runs purpose-built rental communities owned by one landlord: lease-up, unit and amenity pricing, resident apps, renewals, maintenance and investor reporting. RIOO adds NetSuite finance, so every scheme, SPV or fund has its own books, rent posts to the ledger as it is billed, and portfolio NOI consolidates without spreadsheets.

Can RIOO handle a lease-up of several hundred homes?

Yes. Units, pricing, applications, leases and move-ins are managed at scale, so a lease-up of several hundred homes runs from one system. Daily occupancy, leased versus occupied and net effective rent reports show progress toward stabilisation, and move-in slots, keys and inspections are scheduled around completion phases.

Does RIOO support amenity bookings?

Yes. Amenities such as gyms, co-working rooms, guest suites, parking and storage can be set up as bookable or chargeable records. Residents book through the portal, fees or deposits post to their ledger, and utilisation and income reports show which amenities earn their place in the scheme.

Can each BTR scheme be a separate entity?

Yes. With NetSuite OneWorld, each BTR scheme or SPV can be its own subsidiary with separate books, bank accounts and lender reporting, while consolidation rolls schemes up to fund or group level. RIOO tags rent, costs and deposits to the right subsidiary at source, so entity accounts need no re-coding.

Is RIOO ready for the UK Renters' Rights Act?

RIOO supports periodic tenancies, controlled rent-increase workflows with notice records, and documentation for possession grounds, which are central to the Renters' Rights Act in England. Configuration is reviewed with you against the Act's commencement dates and guidance. See Renters' Rights Act readiness for what changes.

Can RIOO handle single-family BTR communities?

Yes. Each home is a unit within a community, so leasing, maintenance and resident services work home by home while reporting rolls up to the community and the fund. Scattered single-family portfolios can be grouped by region or investor in the same way, using NetSuite segments.

Can amenity bookings be charged?

Amenity fees, such as guest suites, event spaces or parking, can be billed to the resident's account as separate charge types, so they appear on the next invoice and post as amenity income in NetSuite. Confirm which booking features you need during scoping.

Does RIOO support multiple investors in one scheme?

Yes. Joint ventures and co-investors map to NetSuite subsidiaries, classes or custom segments, so the same transactions can be reported by scheme, by investor share and by fund. Distributions and investor reports draw on posted NetSuite data rather than a separate spreadsheet model.

Can concessions during lease-up be tracked?

Yes. Concessions such as free weeks or reduced first-month rent post as separate credits against each lease, so reports show gross rent, concessions and net effective rent. Investors can see exactly how much lease-up cost against the underwriting assumptions for each building.

Bring your next scheme's unit schedule. We'll show you lease-up to NOI.
