Rent Receipt: What It Must Show, Plus a Template

What a rent receipt must show, a template to copy, the states that require one, and a worked month with cash, money order and check payments.

RIOO cover for Rent Receipt: What It Must Show, with three white rent receipts fanned across an alabaster background, numbers 0311 for $800 cash with a $625 balance, 0312 for a $625 money order and 0313 for a $38.40 check, above a plum band holding the title in alabaster

A rent receipt is a written record from the landlord or manager. It shows that a tenant paid a stated amount of rent on a stated date for a stated period. It should show who paid, who received it, the property, the amount, the method and any balance still owed. A few states require one in some cases, such as New York for cash and money orders and Maryland for cash or on request. Even where no law requires it, a numbered receipt that matches the tenant ledger settles disputes before they start.

This guide gives you the fields, a template you can copy, the state rules worth knowing as of November 2026, and a worked month with three payments. Rules vary by state and city, so confirm yours locally.

What goes on a rent receipt

Use this as a checklist. If a receipt is missing one of these lines, it can be read two ways later.

  • Receipt number. A unique number from one running sequence, never reused.
  • Date received. The day the money reached you, which is not always the day the tenant sent it.
  • Tenant name. Each tenant on the lease, or the name of the person who paid if that is someone else.
  • Property and unit. The full address and unit number.
  • Period covered. For example, 1 March 2027 to 31 March 2027. A part month should say so.
  • Amount received. In figures, and in words for cash.
  • Payment method. Cash, money order, check number, bank transfer or card, plus any reference number.
  • What the money paid. Rent, a late fee, a utility charge or a fee, each as its own line.
  • Balance after this payment. Zero, or the amount still owed for the period.
  • Name, title and signature of the receiver. For an emailed receipt, the name and title of the staff member or the system that issued it.

Two lines cause more trouble than the rest. "Period covered" stops a June payment being argued as May's. "Balance after this payment" stops a partial payment looking like payment in full.

A rent receipt template to copy

The values below are fictional. Replace them with your own, and keep the layout the same for every receipt you issue.

Keep a copy of each receipt. A carbon book works for a small landlord. A system that issues receipts from the ledger works better at scale, because the copy and the ledger line are the same record.

States where a receipt is required

Rent receipt rules differ a lot between states. The table covers four rules property managers ask about. Use it as a starting point, and check your state and city codes as well.

StateWhen a receipt is requiredDetails
New YorkRent paid in cash, money order, cashier's check or any form other than the tenant's personal check. For personal checks, when the tenant asks in writing.Must show the date, amount, premises, period paid, and the receiver's signature and title. Issue on the spot for payments made in person, and within 15 days otherwise. Keep cash receipt records for at least three years.
MarylandRent paid in cash, or when the tenant asks. Anne Arundel County requires one for residential payments not made by check.A landlord who fails to give a written receipt is liable to the tenant for $25, on top of any other penalty.
CaliforniaWhen the tenant asks.A general rule: a debtor can require a written receipt from the creditor for payment of an obligation.
MassachusettsWhen the landlord collects last month's rent in advance.A written receipt at the time of payment, among other duties. See our guide to Massachusetts last month's rent rules.

New York's section also has a rule on late rent. If rent has not arrived within five days of the due date in the lease, the landlord must send the tenant a written notice by certified mail. A tenant can use a missing notice as a defence in a nonpayment case. Your receipt log is what tells you, on day six, whose rent is missing.

One month, three payments: a worked example

This example is fictional. It follows one New York unit through March 2027 to show how receipts and the ledger line up.

Dana Ortiz rents Unit 2R at $1,425 a month, due on the 1st. In February she asked in writing for receipts for every payment, including checks. Here is her March.

  1. 1 March, 10:15 a.m. Dana brings $800 in cash to the office. The manager counts it with her, then issues receipt 0311 on the spot, showing $625 still owed for March.
  2. 4 March. A $625 money order arrives by post. The manager logs it the same day and emails receipt 0312 on 4 March. That is well inside the 15 days New York allows for payments that are not handed over in person. The receipt shows a zero balance for March.
  3. 12 March. Dana pays a $38.40 water charge by personal check, number 1047. Because of her written request, she gets receipt 0313. It names the check number and says the payment was applied to the February water bill, not to rent.
DateReceiptMethodApplied toAmountRent balance for March
1 Mar0311CashMarch rent$800.00$625.00
4 Mar0312Money orderMarch rent$625.00$0.00
12 Mar0313Check 1047February water$38.40$0.00
March 2027 strip for a fictional unit with $1,425 rent, showing receipt 0311 for $800 cash on 1 March, receipt 0312 for a $625 money order on 4 March bringing the rent balance to zero, and receipt 0313 for a $38.40 water charge paid by check on 12 March

In May, Dana disputes a late fee and says she paid March on time. The manager pulls receipts 0311 and 0312, which show March was paid in full by 4 March. The late fee was for April, and receipt 0326 shows April's rent arrived on the 9th. The argument ends in one email because the receipts and the ledger say the same thing.

Partial payments need careful wording

A receipt for part of the rent should never read like payment in full. Write the amount received, the period it applies to, and the balance still owed. In some states, accepting part of the rent can affect an eviction already under way. Our article on the partial payment that can waive your right to evict explains why the wording matters.

If the tenant is paying under an agreed plan, name the plan on each receipt. For example, write "Payment 2 of 4, agreement dated 2 February 2027" on the receipt. Our guide to setting up a rent payment plan has sample wording for the agreement itself.

First and last months often cover part of a month. Show the dates, such as "Rent for 18 to 31 January 2027, prorated." Our guide to prorated rent shows the three common ways to work out the amount.

Numbering, copies and how long to keep them

A receipt is evidence, so treat it like an accounting document.

One sequence, no gaps

Issue receipts from one numbered sequence per entity or property. If a receipt is spoiled, mark it void and keep it. A gap in the numbers is the first thing an auditor will ask about.

Match every receipt to a ledger line

Each receipt should match one payment line on the tenant's account, with the same date, amount and reference. The receipt is the tenant's copy of that line. Our guide to the tenant ledger explains how charges and payments sit together.

Keep them long enough

New York requires cash receipt records for at least three years. Your accountant, your lender or your state's limitation periods may require longer. Pick one retention period for every property and write it into your records policy.

Cash needs two people where possible

Count cash in front of the tenant, then have a second staff member check the drawer and the receipt book at closing time. Small offices that cannot do that should take cash rarely, by appointment.

Receipts generated from the ledger in RIOO

In RIOO, every rent payment is applied to the tenant ledger and posted to NetSuite like any other receipt. Residents see a clear balance, a pay button, a receipt and a history in the tenant portal. Payments taken online through the portal, the app or autopay post as they happen. RIOO applies each payment to the tenant ledger in NetSuite whichever method is used, including checks scanned at the office. The receipt a resident sees in the portal and the balance finance reports on come from the same payment record. The rent collection and payments page shows how charges, payment application and receipts fit together.

What tenants and owners ask about receipts

Is a bank statement enough proof of rent payment?

It shows money left the tenant's account. It does not show which period it paid or whether a balance remains. A receipt or a ledger statement fills that gap.

Can a rent receipt be electronic?

Generally, yes, if it carries the same details as a paper one. New York's rule asks for the receiver's signature and title, so make sure an emailed receipt names who issued it. Check your state's rules on electronic records.

Do I need to give a receipt if the tenant pays by check?

It depends on the state. New York requires one when the tenant asks in writing. Maryland requires one on request. Elsewhere it is good practice, since the cancelled check does not show the period paid.

What if someone other than the tenant pays the rent?

Name the person who paid and the tenant whose account it was applied to. Some states set rules here. In California, Civil Code section 1947.3 says a landlord must accept rent from a third party who signs a short statement. It confirms they are not a tenant and that the payment creates no new tenancy.

Should a receipt show late fees separately?

Yes. Show rent and each fee as separate lines, with the balance for each. A single total makes it hard to prove later which charge was paid.

Can I charge for a rent receipt?

Do not. A receipt costs little to issue, and where a state requires it, a fee would undercut the duty.
