About RIOO

What is RIOO?

RIOO is a property management platform built natively on Oracle NetSuite. It joins property operations, including leasing, rent collection, maintenance and resident service, with property accounting in one system of record, so every lease, payment and work order is a NetSuite record posting straight to your general ledger. Read more about this topic.

Who is RIOO for?

RIOO is for professional property teams that run NetSuite: asset managers, finance controllers, property and community managers, leasing agents, maintenance coordinators and administrators. It fits best where operations and finance need to share one record, such as multi-entity owners, operators and mixed residential and commercial portfolios. Read more about this topic.

What property types does RIOO support?

RIOO supports residential property, including single-family and multifamily, condominiums and HOAs, student housing, public and social housing and manufactured housing, and commercial property, including offices, industrial buildings, warehouses, retail and mixed portfolios. All types share one NetSuite ledger with their own lease structures. Read more about this topic.

Architecture

What does "built natively on NetSuite" mean?

Built natively on NetSuite means RIOO's core property, unit, tenant and lease records live in your NetSuite account alongside your financial records, and property workflows create NetSuite transactions directly. There is no separate database, sync job or summary journal between property operations and the general ledger. Read more about Why native matters.

Do I need NetSuite?

Yes. RIOO assumes NetSuite as your financial foundation, because its property records and transactions live inside your NetSuite account. Teams not yet on NetSuite can plan the ERP and property rollout together, and RIOO can discuss how that would work for your portfolio during a demo.

Do I need OneWorld or Fixed Asset Management?

Only for specific needs. NetSuite OneWorld is needed for multi-entity consolidation across subsidiaries or currencies, and Fixed Asset Management for automated depreciation of buildings and equipment. Both are NetSuite capabilities configured in your account, and single-entity portfolios without depreciation needs can run without them. Read more about Multi-entity & OneWorld.

Capabilities

What core features does RIOO include?

RIOO includes five modules: Management for properties, units and tenants; Finances for billing, receivables, payables and reporting; Leasing & Sales for applications, leases and renewals; Maintenance for work orders and preventive schedules; and Portals & Mobile for residents, owners and field teams. Read more about this topic.

How does RIOO handle property accounting?

RIOO handles property accounting inside NetSuite: budgets, tenant ledgers, bank reconciliation, accounts payable, deposits and income and expense classification by property, all posting to the NetSuite general ledger in real time. Property and corporate books therefore close together, with no second ledger to reconcile. Read more about this topic.

Does RIOO integrate with other tools?

Yes. RIOO offers 30+ integrations, covering payment gateways, utility billing, CRM, messaging and SMS, e-signature, listing sites and cloud services. Data from each integration lands on NetSuite records, so payments, utility charges and signed leases appear on the right tenant ledger without manual re-entry. Read more about this topic.

Buying and implementation

How is RIOO priced?

RIOO prepares a tailored proposal for each portfolio, based on its property types, entities, markets, integrations and implementation scope. Start with a discovery call and a demo of your own workflows, and the team will follow with a written proposal for your finance and operations leads to review. Read more about Pricing.

How long does implementation take?

It depends on scope: the number of entities and properties, property types, data quality, integrations and whether NetSuite is already live. A milestone plan covering discovery, configuration, data migration, testing and go-live is agreed at kickoff, and phased rollouts let a first portfolio go live sooner. Read more about this topic.

Can we migrate our data?

Yes. Property, unit, tenant, lease and historical financial data can be migrated into RIOO on NetSuite. Open balances, deposits and open work orders are loaded in trial cycles and reconciled against your old system's reports, and older history can be archived as read-only exports for audits and lookups.

What support do customers get?

RIOO customers work with customer success managers, knowledge resources, live chat and configuration reviews, starting during implementation and continuing after go-live. Training is available for new staff and for process changes, so teams keep using RIOO well as the portfolio grows. Read more about this topic.

Data and security

Where does our data live?

Your core property records, including properties, units, tenants, leases and work orders, live in your own NetSuite account alongside your financial data. They fall under NetSuite's security, roles and audit trail, and integrations such as payments and messaging write back to those same records. Read more about Cloud infrastructure.

Is access role-based?

Yes. Access in RIOO is role-based, using NetSuite roles scoped by property, portfolio or function. A site manager sees only their buildings, maintenance staff see work orders, and finance sees the whole portfolio, while approvals and audit trails follow the same permissions across operations and accounting.

Operations questions

Can RIOO handle residential and commercial properties together?

Yes. Residential and commercial processes coexist in one RIOO environment, each with its own workflows: residential leases with deposits and portals, and commercial leases with escalations, recoveries and straight-line rent. Both post to the same NetSuite ledger, so mixed portfolios report together. Read more about this topic.

Does RIOO support manufactured housing communities?

Yes. RIOO supports manufactured housing communities with homesites and homes as separate records, lot rent billing, park-owned homes tracked as fixed assets, home sales and utility recovery from residents. Community managers and finance work from the same NetSuite records across every community. Read more about this topic.

Can residents pay and request maintenance online?

Yes. Residents pay rent, set up autopay and submit maintenance requests with photos through the RIOO tenant portal, available any time from any device. Payments post to their NetSuite ledger automatically, and requests become work orders with status updates sent back to the resident. Read more about this topic.

Can maintenance teams work from the field?

Yes. RIOO mobile access gives maintenance teams their schedules, work order details and photos, status updates, alerts and approvals in the field. Technicians record notes, time and parts on site, and costs post to the property in NetSuite when the job closes. Read more about this topic.

Can we configure our own approval chains?

Yes. Approval chains in RIOO can be configured at property or community level, for purchase orders, vendor bills, work orders, leases and write-offs, with amount thresholds, backup approvers and a full audit trail. They run on NetSuite workflows, so controls match the rest of your finance processes. Read more about this topic.

Finance questions

Does a signed lease create the accounting automatically?

Yes. When a lease is signed in RIOO, its charges, deposits and rent schedule come straight from the lease record and post to NetSuite as invoices and transactions on the right dates. Escalations and straight-line entries follow the same terms, so nobody re-keys lease data into accounting. Read more about this topic.

Can we report by property, building and unit?

Yes. Every RIOO transaction carries property, building and unit context from its source, whether a rent charge, receipt, work order or vendor bill. NetSuite saved searches and financial reports can therefore show income, expenses, receivables and NOI at any of those levels and roll up to the portfolio.

Does RIOO support three-way matching for vendor bills?

Yes. RIOO supports three-way matching, so the purchase order, receipt of goods or completed work and the vendor invoice must align before a bill is approved for payment. Exceptions are routed for review, which keeps maintenance and capital spend controlled across every property. Read more about this topic.

Can we consolidate multiple entities?

Yes, with NetSuite OneWorld. Each property entity, fund or LLC can be its own subsidiary with its own currency and tax setup, and RIOO transactions post to the right one. NetSuite then consolidates, eliminates intercompany balances and produces group results with drill-down to each lease. Read more about Multi-entity & OneWorld.

Does RIOO handle CAM?

Yes. RIOO allocates shared costs across properties, units or cost centres and supports recoveries from commercial tenants, including estimates and year-end reconciliation based on each lease's terms. Recoverable expenses come straight from NetSuite, so recovery statements reconcile to the general ledger. Read more about this topic.
